Overview of role:
The Employee Health Intake & Triage Specialist is the first point of contact for Employee Health, supporting employees and leaders through the intake and administration of occupational and non-occupational health cases.
This role is responsible for triaging incoming requests, maintaining confidential case files, coordinating disability-related documentation, and ensuring accurate and timely case administration. Working closely with Employee Health Advisors and Return-to-Work Specialists, the successful candidate delivers exceptional service while supporting compliance, operational excellence, and continuous improvement.
Key deliverables / responsibilities include:
- Serve as the first point of contact for Employee Health by managing departmental inboxes, phone inquiries, and incoming communications.
- Review, prioritize, and triage incoming disability and Employee Health requests, ensuring timely assignment and follow-up.
- Create, maintain, and update confidential electronic case files, ensuring complete and accurate documentation.
- Process incoming and outgoing correspondence, medical documentation, and employee records while maintaining confidentiality.
- Administer lower-complexity occupational and non-occupational disability cases and escalate complex matters as appropriate.
- Prepare and submit required documentation supporting salary continuation, disability administration, Workers' Compensation, premium waivers, and related reporting.
- Coordinate medical assessments, functional abilities forms, fitness-for-duty evaluations, and reimbursement processes.
- Crosstrain with the Return-to-Work Specialist to support modified work plans and transitional return-to-work programs.
- Build collaborative relationships with employees, leaders, healthcare providers, insurers, and internal stakeholders to deliver exceptional customer service.
- Contribute to process improvements and Employee Health projects while supporting operational excellence.
- Occasionally provide guidance and support to new team members.
Experience and qualifications:
- Bachelor’s degree in human resources, Business Administration, Health Administration, Occupational Health, or a related discipline, or an equivalent combination of education and experience.
- Minimum of 2 years’ experience in disability management, employee health, occupational health, human resources, benefits administration, or related field.
- Exceptional organizational and administrative skills with the ability to manage multiple priorities in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite, particularly Excel.
- Strong technology aptitude with experience learning and navigating multiple software platforms and case management systems; Cority experience is considered an asset.
- Excellent customer service, communication, and relationship-building skills with the ability to handle sensitive and confidential information with professionalism.
- Strong analytical and problem-solving skills with the ability to assess situations, prioritize work, and navigate multiple systems simultaneously. • Demonstrated adaptability and a continuous improvement mindset.
- Experience in supporting disability management, Workers' Compensation, salary continuance, or return-to-work programs is considered an asset.
