Are you an Accounting Clerk with 2 years or more bookkeeping/accounting experience up to trial balance? Your position will oversee the accurate accounting for our US subsidiary, perform all US payroll (and related payroll matters) for a small staff, and provide oversite of US accounts payable, work orders, accounts receivable, inventory recording, bank reconciliations and GL maintenance.
Due to the nature of this position, it is not an entry-level job but one where your experience will be called upon by the office, purchasing, and management staff at our US subsidiary.
US bookkeeping, payroll, guidance and oversite consists of approximately 12 to 20 hours a week.
The remainder of the Accounting Clerk’s position entails being backup for Canadian accounting operations [AR/AP/Payroll] and providing other duties as requested.
Reporting directly to the Financial Controller and working along side an internal staff of two, you will have strong interpersonal skills, the ability to collaborate with a diverse team, and demonstrate a strong sense of urgency while meeting changing priorities.
Responsibility and duties:
Hands-on bookkeeping to trial balance, payroll, bank and credit card reconcilations, and oversight for our USA location including but not limited to:
- Assisting [providing bookeeping entries; reconciling accounts] US personnel on all matters and processes relating bookkeeping, payroll, and personnel matters.
- Complete monthly processing, trial balance, reconciliations, statutory filings and other reconciliations and tasks as required [USA].
- Processing weekly payroll with 3rd party payroll provider. Calculating, reconciling, and remitting benefits payments.
- Reconciling weekly payroll accounts, remitting all taxes and benefits plans payments & premiums.
- Oversight of sales, AR, AP, GL accounts and bank deposit entries made by US employees.
- Reconciling and authorizing payment of vendor invoices.
- Complete weekly bank reconciliations for one US and two Canadian bank accounts, with oversight of recurring payments and posting of such.
- Monitor US credit card balances, make monthly reconciliations and payment. Make approved mid-month balance payments to ensure the availability of credit during periods of heavy usage.
- Contribute to the preparation of annual audit and supporting working paper files.
- Verifying subledger accounts and General Ledger maintenance
- Monitor accounts receivable and send statement of accounts receivable to US location semi-monthly with any appropriate questions.
- Monthly remittance of Washington State Sales Tax, monitoring that accounts are taxed correctly.
- Assist/backup Payroll, AP and AR - Canadian location
- Other bookkeeping/payroll duties as requested.
- Exercise sound judgement and decision making.
- Maintain a high level of confidentiality.
Required skills and accomplishments:
- Minimum of 2 years of hands on bookkeeping/payroll to trial balance.
- Highly proficient in Word and Excel [including pivot tables] required.
- Experience with custom accounting software and SharePoint/Office365
- Experience with corporate legal, insurance, and regulatory obligations
- Experience in a multinational environment an asset
- Ability to work with minimal supervision
