Maintenance Administrator

Reports To

Manager, Maintenance

Summary:
The Maintenance Administrator has primary responsibility to provide administrative support to the Maintenance Team. This position is responsible for various file maintenance, work order processing, and data collection and reporting. The Maintenance Administrator works out of our Morinville Kitchens and Warehouses, and reports to the Manager, Maintenance.

Key Responsibilities:
Perform an array of clerical functions that may include but not limited to: filing, scanning, uploading, preparation and distribution of hard copy files.
Work order preparation including opening work orders, collecting and printing appropriate data and documentation, creating work packages.
Process completed work packages and enter data in CMMS software.
Support close out of MWO packages and archiving critical documentation.
Work in conjunction with the Maintenance Leaders to ensure that the asset database is accurate and current.
Data collection and reporting for asset preventive maintenance planning and departmental KPI’s.
Tracking and booking of maintenance employee safety/non-safety courses/re-certifications.
Coordinate departmental meetings including recording meeting minutes and actions when required.
Provide support for the purchasing function when needed.
Perform other tasks as required or assigned.

Key Requirements:
Minimum High School Diploma or equivalent.
Completion of relevant post-secondary education.
Two years related work experience.
Experience in an industrial environment would be advantageous.
Strong organizational abilities, including planning and execution skills, with honed attention to detail in all areas of work.
Proficiency in Microsoft Office Suite.
Strong analytical and problem solving abilities.
Effective communication skills, both verbal and written, and good interpersonal skills that create ability to work successfully with diverse groups within a team environment.
Fluent in English, both written and spoken.
Able to work well under pressure and with minimal direction.
Overtime as required.
