We are seeking an Executive Assistant to provide an elevated level of administrative support pursuant to the needs of the Partner's, the Firm, and our clients. The successful candidate reports directly to the Managing Partner but will work closely with the accountants on staff.
Candidates should be self-sufficient, adaptable, and comfortable with numbers/spreadsheets in a fast-paced environment.
This role includes, but is not limited to, the following primary duties:
- Perform general administration tasks, such as, but not limited to: onboarding clients, printing, sending documents, preparing invoices, and tracking client deadlines
- Receptionist duties such as welcoming our clients into our practice, phone and email correspondence, and maintaining office supplies
- Responsible for the billing and collection of clients’ accounts receivable as well as accounts payable
- Support the Managing Partner and office staff by managing their meeting schedules, expenses and travel arrangements
- Communicate with the Canada Revenue Agency on behalf of clients and the firm
- Proficiency with Microsoft Office and general office software
- Experience with accounting software such as CaseWare, QuickBooks, TaxCycle, etc. considered an asset
- Experience using client relationship and practice management software, such as HubSpot and iFirm, is considered an asset.
- Experience in a public practice accounting environment is preferred
Skills Required
- Minimum of 2 years' experience in an administrative role
- Tech-savvy with a willingness to learn new software and technology
- Must be organized and able to prioritize as needed
- Strong oral and written communication skills
- Professional, friendly, and client-focused demeanor
- Ability to work effectively both independently and as part of a collaborative team.

Pay: $25.00-$30.00 per hour
