The Associate University Secretary is accountable for the effective support of the Board of Governors, the Fredericton Senate and certain Board and Fredericton senate committees, and for the coordination and administration of academic appeals to Senate and non-academic student disciplinary matters that entail involvement in quasi-judicial proceedings.
Representative Responsibilities
  • Joint Secretary of the Fredericton Senate in collaboration with the University Secretary; Prepare agenda, and minutes of all meetings, ensure follow-up on action items.
  • Administrative Support for the Board of Governors and select Board committees.
  • Support Professor Emeritus and Honorary Degrees Committees, circulating calls for nominations, compiling submissions and preparing summaries as required.
  • Perform associate level support for governance bodies, with independent judgement and initiative, in a way that supports and complements the responsibilities of the University Secretary.
  • Advise and brief the University Secretary on Senate and Board matters.
  • Advise and support members of senior administration, Board and Senate members and committee chairs, and members of the University and external community, providing advice on University governance, policy, procedures and precedents.
  • Coordinate elections of Faculty-at-large members on the Fredericton senate and working with recognized student groups.
  • Coordinate, manage and provide leadership when appropriate to Senate related projects, initiatives and events.
  • Coordinate and provide support to administrative and quasi-judicial tribunals.
  • Coordinate and support the development of policy in assigned areas and recommend policy initiatives as requested.
  • Maintain effective liaison with the office of the President and Vice-Presidents, Registrar’s, Deans and Directors on matters for which the University Secretariat has responsibility.
  • Assist with the development and administration of the department budgets.
  • Coordinate and manage special projects on behalf of the University Secretary.
  • Assist the University Secretary with research on best practices in university governance in support of policy and procedure development and updating.
  • Perform related duties and responsibilities in support of the University Secretary as required.
Requirements
  • University degree required, or an equivalent combination of post-secondary education, training, professional development and experience.
  • Several years administrative /policy experience in a university or intuitional environment.
  • Good organizational and administrative skills.
  • Superior oral and written communication skills and demonstrated minute-taking ability.
  • Interpersonal skills to deal with all levels of governors, administrators, faculty, staff, students and the general public.
  • Ability to work in a high-pressure environment and with a high level of attention to detail.
  • Ability to identify and achieve priority objectives, organize work independently, and meet critical deadlines.
  • Exercise discretion, diplomacy and tact.
