Position Overview
We are seeking a highly organized, motivated, and personable Legal Assistant to join our team on a full-time, on-site basis at our Surrey, BC office.
The successful candidate will be an integral part of our legal team and will work closely with lawyers, clients, court personnel, and other legal professionals. As one of the first points of contact for our clients, the Legal Assistant will play a key role in creating a welcoming, professional, respectful, and client-focused experience.
This position is ideally suited to an individual who is detail-oriented, proactive, and eager to build a long-term career in the legal profession. The successful candidate will have the ability to manage competing priorities, work efficiently in a fast-paced environment, and maintain a high standard of professionalism and confidentiality.
Key Responsibilities
The Legal Assistant will be responsible for providing comprehensive administrative and legal support, including:
- Preparing, editing, proofreading, and formatting legal correspondence, pleadings, court forms, affidavits, applications, and other legal documents;
- Assisting lawyers with the preparation and organization of documents for court appearances, hearings, applications, mediations, and other legal proceedings;
- Scheduling and coordinating client appointments, meetings, court appearances, examinations, and other important deadlines;
- Maintaining accurate and well-organized electronic and physical client files;
- Managing filing and service of legal documents in accordance with applicable court rules and procedural requirements;
- Communicating professionally and respectfully with clients, lawyers, court staff, opposing counsel, government agencies, and other legal professionals;
- Managing incoming and outgoing correspondence, emails, telephone calls, and other communications;
- Monitoring deadlines, appointments, limitation dates, and other important file-related matters;
- Assisting with client intake, file opening, conflict checks, and general file administration;
- Assisting with billing, accounts receivable, trust-related administrative tasks, and other financial administration as required;
- Providing general administrative and operational support to lawyers and the legal team;
- Maintaining strict confidentiality and handling sensitive client information with discretion and professionalism; and
- Performing other duties and responsibilities as required to support the efficient operation and continued growth of the firm.
Qualifications and Skills
The ideal candidate will possess the following qualifications and attributes:
- Previous clerical, administrative, or legal assistant experience, preferably within a law firm or legal environment;
- Strong organizational and time-management skills, with the ability to effectively manage multiple files and competing priorities;
- Excellent written and verbal communication skills;
- Strong attention to detail and excellent proofreading and document-editing skills;
- Ability to prepare professional correspondence and accurately format legal documents;
- A certificate, diploma, or formal education in Legal Administration, Legal Assistant Studies, or a related field is considered an asset;
- Proficiency with Microsoft Office, Adobe Acrobat, and legal practice management software, such as PC Law, Clio, or similar platforms;
- Ability to work independently while also contributing effectively to a collaborative team environment;
- Ability to prioritize tasks, meet deadlines, and remain organized in a fast-paced legal practice;
- A professional, courteous, and client-focused demeanour;
- Strong interpersonal skills and the ability to communicate effectively with individuals from diverse backgrounds;
- A proactive approach to problem-solving and a willingness to learn and take on new responsibilities;
- Knowledge of Punjabi and/or Hindi is considered a strong asset; and
- Previous experience in Family Law or Criminal Defence is an asset but not essential.
