Main Responsibilities:
- Warmly greet and assist clients, ensuring they feel comfortable and valued from the moment they walk in.
- Manage appointment scheduling, confirmations, and modifications to maximize the efficiency of the center’s resources.
- Respond to phone, email, and in-person inquiries, providing accurate information on services, products, and promotions.
- Conduct follow-up calls to gather feedback, ensure client satisfaction, and support ongoing supplement plans.
- Maintain and update client records accurately, ensuring all details are current and confidential.
- Process client payments, issue receipts, and handle any billing or payment inquiries.
- Assist with medication refills by coordinating with pharmacies.
- Enter client information into the data management system and send follow-up notes after each appointment.
- Build strong relationships with clients, understanding their needs and preferences to provide personalized support.
- Book follow-up appointments to ensure clients achieve their desired health and wellness outcomes.
- Handle client complaints and concerns with professionalism, working towards timely resolutions.
- Stay informed about the center’s services, treatments, and products to answer questions and make recommendations.
- Assist with event promotions, marketing campaigns, and informing clients about current offers and events.
- Support client retention efforts through loyalty programs, personalized follow-ups, and special promotions.
- Work closely with the wellness and spa team to ensure smooth daily operations and exceptional client care.
- Communicate client preferences and needs clearly with service providers.
- Provide support to the Doctors and Associates to maintain seamless operations.
Skills & Qualifications:
- Proven experience in a similar role within a physician’s office, ideally in Family Practiceand/or Functional Medicine settings.
- Strong understanding of healthcare administration, including patient confidentiality, billing, and scheduling.
- Previous experience in a medical spa, wellness, or aesthetic industry is a plus.
- Excellent communication skills, with the ability to interact professionally
- Proficient in computerized office systems, including medical records, billing, and scheduling software.
- Sales skills or the ability to upsell products and services.
- Knowledge of medical office procedures, front desk operations, and customer service.
- Detail-oriented with strong organizational skills and the ability to multitask in a fast-paced environment.
- Ability to handle confidential medical information with the utmost care and professionalism.
Job Type: Full-time
Pay: $25.00-$30.00 per hour
Expected hours: 40 per week
