We are seeking a highly organized and proactive Administrative Assistant / Maintenance Coordinator to support building operations and maintenance activities across a diverse portfolio. This position plays a key role in coordinating maintenance services, managing work orders, supporting contractor activities, monitoring service delivery, and assisting with operational reporting and compliance requirements.

Coordinate and monitor maintenance work orders, preventive maintenance activities, and service requests.

Liaise with contractors, suppliers, and operations staff to ensure work is completed safely, on time, and within scope.

Support the Operations Manager with building operations, contractor management, and project coordination.

Track work order performance, service levels, and Key Performance Indicators (KPIs).

Process purchase orders, review contractor invoices, and maintain service records and documentation.

Support building management systems, including AiM, BMCS, and related operational software.

Assist with onboarding and training team members on maintenance processes, software systems, and operational procedures.

Coordinate regulatory inspections, compliance activities, and required maintenance documentation.

Prepare operational reports and maintain records to support quality, safety, and contract requirements.

Promote a safe work environment and ensure adherence to company policies, procedures, and safety standards.

Minimum 3–5 years of experience in maintenance coordination, facilities administration, building operations, or property management.

Experience working with contractors, service providers, and maintenance programs.

Working knowledge of CMMS systems, work order software, or building maintenance programs.

Strong organizational and time-management skills.

Excellent communication and customer service abilities.

Proficiency with Microsoft Office Suite and business software applications.

Valid Driver's License with a satisfactory Driver's Abstract.
