Job Description & Summary

A career in Administration and Secretarial Services, within Internal Firm Services, will give you with the opportunity to provide administrative support to PwC employees. You’ll focus on using business software applications to prepare reports, receiving and directing incoming calls or emails to the appropriate parties, arranging business travel, tracking expenses, and coordinating meeting arrangements.

Our team is led by the national administrative services team that oversees executive assistants and team assistants, administrative support concierge, dual support specialists, office services, document production, meeting and events, and project management. You’ll help our team with calendar management, internal and external client scheduling, travel arrangements, expense reconciliation, client or account research, report generation and review, and routine communication management.

Please note this is a 1 year contract position.

A Virtual Administrative Assistant has a positive, can-do approach to very detail oriented work, in a fast-paced, multitasking environment where you will be expected to work from home an average of four days a week. At the discretion of the manager you will work a minimum of one day a week in our Ottawa office. From time to time, there may be an additional day in the office.

Responsibilities:
Maintaining executive’s calendars, scheduling meetings and calls with internal and external clients.
Arranging travel for the executives you support, and reconciliation of Amex expense accounts.
Reviewing your executive’s email and responding to routine communications and notes.
Communicating with client engagement teams.
Reviewing reports/data and interpreting what information the leaders need to act on.
Updating client relationship information in applicable firm systems.
Client or account research.

Requirements:
Flexibility to work from home in a distraction free environment.
You have a passion for customer service and a flair for administration. Maybe you’ve come from a completely different career path, but the skills you bring to the table will work wonders in this virtual support role.
You can be a recent university graduate with the right skills and abilities and be eligible for this role.
The hours you will work will be flexible work hours where you have some choice in the pattern of your daily work hours while still working around the needs of your executives.
Extensive technical knowledge and proficiency in, Google Hangouts, Lotus Notes, Google Mail, WebEx, iPhone, iPad and social media tools (i.e. LinkedIn etc) to provide remote administrative support.
Must be able to demonstrate intermediate Microsoft Office Suite (Word, Excel, PowerPoint) proficiency levels.
Excellent time management, organization, task prioritization and problem solving skills.
The ability to work well both independently and in a team environment.
This role is best suited to an individual who has a minimum of 2 or more years of relevant experience in customer service, administration or applicable transferable skills.
High school diploma required, Bachelor's Degree would be considered an asset.
Proficiency in French an asset
