Job Summary
Industrial Scaffold Services is seeking a proactive, detail-oriented Field Administrator to support our field operations across Western Canada. We provide scaffolding, rentals, and related services to industrial clients, and this role is critical to keeping our projects running smoothly.
As a Field Administrator, you will be the administrative backbone for the Director of Operations, Operations Managers, and Site Supervisors. You will play a key role in coordinating field activities, managing documentation, supporting shutdowns, and ensuring accurate payroll and billing processes. This position is ideal for someone who thrives in a fast-paced, field-focused environment and enjoys being an essential part of operational success.
Key Responsibilities
Field & Operations Support
- Provide administrative support to the Director of Operations, Operations Managers, and Site Supervisors
- Deliver on-site administrative support during day to day maintenance, shutdowns and major projects
- Coordinate manpower requirements with Supervisors, Logistics Manager, and Union representatives
- Assist with job setup and mobilization activities
Payroll, Billing & Reporting
- Create daily labor and equipment hour reports for payroll and billing
- Track job-related purchases and expenses for billing purposes
- Compile and prepare data for management and client reporting
- Maintain accurate spreadsheets, reports, and records in a timely manner
Procurement & Documentation
- Generate requests for accommodations, equipment, materials, and subcontractors
- Ensure all required paperwork and approvals are completed and processed
- Prepare, finalize, and issue approved quotes to clients
Office & Administrative Duties
- Perform data entry, filing, proofreading, and document management
- Support office management tasks including coding, inventory tracking, and file organization
- Maintain organized and accessible records to support field and office operations
Customer & Vendor Support
- Respond to client and vendor inquiries promptly and professionally
- Foster positive working relationships with customers, suppliers, and internal teams
Experience & Qualifications
- Previous administrative or field/office support experience preferred
- Experience in industrial construction or related industries is an asset
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets)
- Excellent communication skills and professional phone etiquette
- Must be fluent in both spoken and written English. Bilingual abilities are considered a strong asset
- Proven ability to manage time effectively and prioritize competing demands
- Clerical experience including data entry, filing, proofreading, and calendar management
- Knowledge of office management practices; experience as a personal assistant or receptionist is advantageous
- Must have own reliable vehicle and valid drivers licence
Pay: $25.50-$27.50 per hour
Expected hours: 40.0 per week
