Job Description
Weaver Simmons LLP is seeking a dedicated and detail-oriented individual to join our team as a Real Estate Assistant in our Sudbury office. The successful candidate will provide administrative and clerical support to lawyers within our Real Estate Department.
The ideal candidate is organized, professional, and capable of managing multiple priorities in a fast-paced legal environment while maintaining a high degree of accuracy and confidentiality.
Duties & Responsibilities:
- Prepare, review, and organize real estate documents and correspondence.
- Assist with residential and commercial real estate transactions, including purchase, sale, refinance, and mortgage files.
- Communicate professionally with clients, financial institutions, law offices, and third parties regarding file matters and transaction updates.
- Schedule appointments, meetings, and signing appointments for lawyers and clients.
- Open, maintain, and close client files in accordance with firm procedures.
- Docket time and disbursements, prepare billings and trust statements.
- Prepare statements of adjustments, reporting letters, and other transaction-related documentation.
- Perform electronic registrations and searches through Teraview and related systems.
- Maintain accurate file records and ensure all deadlines are met.
- Handle confidential and sensitive information with professionalism and discretion.
- Perform other duties as assigned.
Job Requirements:
- Preferred completion of a college diploma or certificate in Legal Administration, Office Administration, or a related field.
- Previous experience in a legal assistant or real estate assistant role is considered an asset.
- Knowledge of Law Society of Ontario (LSO) requirements relating to trust accounting and real estate transactions is considered a strong asset.
- Strong verbal and written communication skills. Ability to communicate in Hindi is considered an asset.
- Proficiency with Microsoft Office Suite and legal software such as PCLaw, Unity, or Teraview is considered an asset.
- Excellent organizational skills with strong attention to detail and the ability to multitask effectively.
- Ability to thrive in a fast-paced, deadline-driven environment.
- Capable of working independently as well as collaboratively within a team.
- Professional, reliable, and client-service oriented.
