Job Overview
Clover Mortgage is seeking a proactive and resourceful Personal Executive Assistant to support our CEO in a high-impact, growth-oriented environment. The ideal candidate is highly organized, tech-savvy, and capable of managing a wide range of tasks, from scheduling to handling communications and overseeing daily operations. In this role, you will be the CEO’s primary contact, enabling the CEO to stay focused on strategic priorities while you manage the details. Confidentiality, professionalism, and the ability to work independently are essential.
Responsibilities
- Direct Communication & Task Execution: Act as the CEO’s primary point of contact, relaying messages, executing requests, and handling emails as requested.
- Time & Task Management: Manage the CEO’s calendar, prioritizing appointments and commitments to ensure maximum productivity.
- Liaison & Communication Management: Facilitate clear, timely communication between the CEO and internal/external stakeholders, managing responses and relaying updates.
- Systems & Document Management: Implement organizational systems, including a cloud-based filing system to enhance efficiency.
- Expense & Financial Coordination: Track and reconcile personal and business expenses, manage bank accounts, and coordinate with bookkeepers and accountants.
- Travel & Personal Arrangements: Coordinate travel plans, itineraries, and accommodations with close attention to detail.
- Reception & Office Support: Occasionally perform receptionist duties, greeting visitors and managing calls in a professional manner.
- Tech & AI Integration: Embrace AI and other emerging technologies to streamline workflows, save time, and support the CEO’s priorities.
Requirements
- Experience: Proven experience as an executive assistant, ideally in the sales, real estate, or mortgage sector.
- Sales & CRM Knowledge: Sales experience is a strong asset; familiarity with CRM systems like Salesforce is preferred.
- Tech-Savvy & AI-Friendly: Passionate about leveraging AI tools and emerging technologies to boost efficiency.
- Hybrid Flexibility: Ability to work remotely with a few days per week in our Mississauga office.
- Communication Skills: Excellent written and verbal English skills; able to draft clear, professional correspondence and manage communications effectively.
- Organizational Expertise: Strong ability to implement and manage organizational systems that improve productivity.
- Professionalism & Confidentiality: Demonstrated discretion with sensitive information and the ability to interact professionally at all times.
