Job Summary
Young Minds & Alpha Child Care is seeking a detail-oriented and organized Administrative Assistant to support the Preschool Director. This role involves managing daily administrative tasks, coordinating schedules, and ensuring smooth office operations. The ideal candidate will have strong clerical skills, proficiency with office software, and excellent communication abilities to facilitate a welcoming environment for staff, parents, and visitors.
Duties
- Manage the Director’s daily workflow, including document preparation, filing, and general office management using Google Workspace.
- Handle phone calls with professional phone etiquette, directing inquiries and taking messages as needed.
- Perform data entry, filing, and document proofreading to ensure accuracy of records.
- Assist with bookkeeping tasks using QuickBooks and perform basic office bookkeeping duties.
- Support front desk operations, including greeting visitors and managing multi-line phone systems.
- Handle housekeeping administrative duties and other assigned tasks to maintain a clean and professional office environment.
- Oversee the maintenance of records for multiple locations, ensuring all files are organized and accessible.
- Coordinate with staff on scheduling events, meetings, and parent-teacher conferences.
- Utilize DocuSign for electronic document signing and management.
- Maintain organized files both digitally and physically to ensure easy retrieval of information.
- Provide exceptional customer service to parents, staff, and visitors to foster a positive environment.
Team Coordination
- Work collaboratively with the School Director, Kitchen Coordinators, and teaching staff to share important operational information.
- Support the recruitment process by organizing candidate resumes and scheduling interviews for various roles within the center.
- Manage school resources, placing orders and distributing to the right school locations
Experience
- Prior office experience or administrative support experience is preferred.
- Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel), Google Workspace, and DocuSign is highly desirable.
- Proficiency in office software and familiarity with financial tracking or reconciliation processes is highly desirable.
- Experience with clerical tasks such as data entry, filing, proofreading, and front desk responsibilities is beneficial.
- Exceptional organizational and time-management skills, with the ability to handle multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills, suitable for interacting with educators, parents, and government officials. Excellent phone ettiquette
- A background or interest in Early Childhood Education (ECE) or related certifications (e.g., First Aid & CPR) is an asset.
- Reliable, discreet, and deeply committed to the mission of providing a nurturing and well-managed environment for children.
- Previous experience in a preschool or educational setting is a plus but not required.

Pay: $23.50-$26.50 per hour
