GENERAL SUMMARY
The Project Administrative Assistant (PAA) provides administrative, coordination, and operational support across key VDJI project initiatives. The POA is responsible for supporting project planning and implementation, maintaining project documentation, tracking timelines and budgets, coordinating meetings and stakeholder engagement activities, and assisting with reporting and communications. Working closely with internal staff, government partners, and community stakeholders, the Project Administrative Officer helps ensure the effective and efficient delivery of project programs while advancing VDJI’s mission of advancing equity and justice for Black communities.
KEY RESPONSIBILITIES
- Provide day-to-day administrative support for project activities across advocacy, Pay Equity, and IRCA Support Fund initiatives;
- Assist in tracking project timelines, deliverables, and budget allocations;
- Maintain organized records, files, and documentation related to all project components;
- Support scheduling, logistics, and coordination of meetings, consultations, and stakeholder engagements;
- Assist in preparing internal and external reports, including updates for funders; and
- Support general communications and coordination across project stakeholders.
QUALIFICATIONS
Education and Experience:
- A post-secondary diploma or degree in Business Administration, Office Management, Human Resources, Human Services, Social Sciences, Public Administration, Social Work, or a related field; or an equivalent combination of education, training, and relevant work experience.
- Post-secondary students pursuing a degree or diploma in the aforementioned sectors will also be considered.
- At least 1–3 years of experience providing administrative, project coordination, or program support, preferably within a nonprofit, community-based, government, or social justice organization;
- Experience supporting multiple projects, maintaining records and documentation, coordinating meetings, and preparing reports;
- Experience working with diverse stakeholders, including community organizations, funders, government representatives, or advocacy groups, is considered an asset; and
- Knowledge of anti-racism, equity, and social justice principles, particularly as they relate to Black communities, is considered a strong asset.
Knowledge, Skills, and Abilities:
- Ability to coordinate meetings, events, and stakeholder engagement activities with attention to detail;
- Ability to work independently while contributing effectively as part of a team;
- Ability to track project timelines, deliverables, and budgets and identify potential issues proactively;
- Adaptability and flexibility in responding to evolving organizational and project needs;
- Bilingualism (English/French), proficiency in another language is an asset;
- Excellent time-management skills and the ability to meet deadlines in a fast-paced environment;
- Experience in maintaining accurate records, managing documentation, and handling confidential information;
- Proficient with Google Workplace, Microsoft 365, and collaboration technologies;
- Sound judgement, initiative, and problem-solving abilities;
- Strong understanding of systemic anti-Black racism in Canada; and
- Strong interpersonal skills and ability to build positive working relationships with diverse stakeholders.
WORKING CONDITIONS
This is a part-time contract position with an anticipated start date of July 2026 and an end date of July 2029, subject to funding and organizational requirements. The successful candidate will work remotely for approximately 20–25 hours per week at an hourly rate of $22.00. The contract term is three years and offers a flexible remote work environment. Employees are also eligible for health and dental insurance benefits in accordance with VDJI's employee benefits program. The position requires the ability to work independently, manage competing priorities, and participate in virtual meetings and collaborative activities as needed.
