Conditions of Employment:
Must be legally entitled to work in Canada

Extensive experience providing administration/clerical and secretarial support to executive and senior level staff
Experience in developing and maintaining paper and electronic files/filing systems and document tracking systems
Experience in handling highly sensitive material and information in a confidential and professional manner
Experience and/or training in SAP
Ability to work independently with minimal supervision
Strong verbal communication skills including the ability to communicate professionally and effectively with staff and the public in person and over the phone
Strong written communication skills including experience preparing, editing and formatting formal and informal correspondence
Strong interpersonal skills including the ability to work effectively with the public and other co-workers and staff, as well as within a team environment
Experience working with Microsoft Office (including Outlook, Word, Excel, Access, PowerPoint) or equivalent software applications
Strong organizational and time management skills including the ability to prioritize workloads, and work on concurrent assignments with strict deadlines
Working knowledge of and/or experience with Activities and Issues Management System (AIMS)
Working knowledge of and/or experience with government administrative policies and procedures such as requirements for Treasury Board Submissions, Cabinet Submissions and Order-in-Council
Strong leadership skills

Experience maintaining and administering SharePoint website or equivalent software

Reporting directly to the Assistant Deputy Minister, the Administrative Coordinator is responsible for the management and coordination of all administrative activities for the Assistant Deputy Minister including the direct linkage between the Department and the Deputy Minister and Minister’s office at the Legislature. The incumbent must be an experienced and highly motivated individual, capable of independent action in identifying and resolving administrative problems across the various program and corporate components of the Division as well as being responsible for the screening and submission of information requests from the Deputy Minister and Minister’s offices.

The incumbent will be required to redirect information requests to various Directors and other ADM Offices within the Department and from time to time will be required to coordinate responses within specified time constraints. Administrative Coordinator provides time management for the ADM’s office ensuring effective scheduling of meetings including the preparation of appropriate materials for the scheduled meetings of the day and is responsible for the routine office coverage on a day to day basis as well as effective management of all phone and messaging requirements.
