Job Summary
We are seeking a highly organized and professional Office Administrator to oversee the daily operations of our physiotherapy and sports rehabilitation clinic. The ideal candidate will manage administrative tasks, coordinate patient scheduling, and ensure smooth communication between staff and patients. This role requires a strong understanding of medical office/ physiotherapy clinic procedures, excellent interpersonal skills, and the ability to handle multiple responsibilities efficiently. Experience with electronic medical records and familiarity with healthcare terminology are essential to provide exceptional support in a fast-paced clinical environment.
Responsibilities
- Manage patient appointments, scheduling, and follow-up communications using electronic medical records systems such as juvonno or similar platforms.
- Handle front desk duties including greeting patients, answering inquiries, and directing calls appropriately.
- Maintain accurate patient records, billing information, and insurance documentation in compliance with privacy regulations.
- Assist in human resources functions such as onboarding new staff, maintaining personnel files, and coordinating staff schedules.
- Support billing and budgeting processes related to clinic operations.
- Supervise administrative staff and ensure adherence to clinic policies and procedures.
- Coordinate with healthcare providers to facilitate smooth clinical workflows and patient care delivery.
- Ensure the clinic environment remains organized, clean, and compliant with health and safety standards.

Requirements
- Proven experience in a medical or physiotherapy clinic setting; experience in hospital or acute care environments is a plus.
- Familiarity with electronic medical records systems such as juvonno or similar software.
- Strong knowledge of medical terminology relevant to physiotherapy, sports rehab, nursing, or related healthcare fields.
- Previous supervisory or team leadership experience in a healthcare setting.
- Background in human resources management within a clinical environment is desirable.
- Experience with budgeting, billing, and insurance processing.
- Excellent organizational skills with the ability to multitask effectively under pressure.
- Strong communication skills for interacting professionally with patients, staff, and external vendors.
- Knowledge of healthcare regulations regarding patient privacy and data security is essential.
