About the Opportunity
Our client, a well-established full-service law firm serving clients across Southern Ontario, is seeking an experienced and detail-oriented Law Clerk to support their busy Wills & Estates practice on a contract basis. This is an excellent opportunity for a clerk who enjoys owning the full estate administration process, from opening a file through to final distribution, and who takes pride in accurate, well-organized work.
This is a hands-on role for someone who can manage estate files independently and keep multiple matters moving smoothly. It is well suited to a recent law clerk graduate, a candidate coming off a recent contract, or an internationally trained lawyer or licensing candidate looking to build hands-on estates experience in a supportive, collaborative environment.
Duties include but are not limited to:
Estate Administration & Court Applications
Collect and organize the information required to administer an estate, and maintain estate checklists
Prepare estate administration documents, including the Application for a Certificate of Appointment of Estate Trustee, the Certificate of Appointment, and the supporting affidavit
Prepare renunciations, notarials, and statements of original assets
Prepare and file Estate Information Returns
Maintain and update the court application list
Accounts, Distributions & Financial Documents
Draft estate accounts, including consultation and full accounts
Create accounts based on timesheets, and create, update, and maintain timesheets
Review bank statements and prepare reconciliations of funds
Calculate interim and final distribution amounts
Prepare authorizations and directions, irrevocable directions, releases (including full and final releases), and acknowledgements
Correspondence & Coordination
Manage day-to-day email and book estate appointments
Draft correspondence to clients, beneficiaries, the Ministry of Finance, courthouses, the Office of the Public Guardian and Trustee, other law firms, financial institutions, and related parties
About You
The successful candidate will have the following:
Law Clerk diploma (ILCO certification an asset) or equivalent practical experience
Solid, recent experience as a law clerk in wills and estates, including probate and estate administration
Working knowledge of Ontario estates court procedures, forms, and filing requirements
Strong drafting, organizational, and file-management skills, with excellent attention to detail
Proficiency with legal software and standard office applications; ability to learn firm-specific systems quickly
Able to work independently, manage competing deadlines, and start on short notice
Professional, personable communication style with clients and colleagues
