Located out of our Sherwood Park office, the individual in the administrative assistant position will report to the Sr. Manager Pipeline SCADA & Leak Detection. The successful candidate is responsible for providing professional administration support for the technical departments in Pipeline Operation Services.
This position will provide administration assistance, purchasing administration and general reception support to the Sherwood Park office.
Diploma or Degree in Business Administration or related education would be considered an asset.
High School diploma is required
2-4 years of experience in an office administrative position
High level proficiency with Microsoft Word, Excel, PowerPoint, Outlook, SharePoint and Teams
SAP and Maximo experience is preferred
Strong time management skills to be able to manage many tasks simultaneously
Strong organisation, communication and interpersonal skills
Proven ability to build effective relationships across all levels of the business
Key Activities and Responsibilities:
Create purchase requisitions and purchase order management as requested
Work closely with Operation Services leadership team, Accounting and Supply Chain management (SCM) department to ensure that purchasing and contracts are properly documented and tracked
Liaison with dedicated SCM buyer to ensure procurement of goods and services are being done in a timely manner and that payment is being made on time
Contact vendors as required and respond to vendor inquiries
Support the departments with preparing correspondence, reports, presentations and other duties as required
Assist with organizing meetings and recording/filing meeting minutes as required
Assist and provide receptionist support during vacation and peak load times to welcome visitors and manage main office telephone switch board
This is a full-time position, Monday – Friday
