Job Summary
We are seeking a highly motivated and professional Legal Assistant to join our team. The successful candidate will perform substantive legal work and provide advanced litigation support across our family, criminal, and civil law practices. Unlike a general administrative role, this position requires a high degree of autonomy in managing files, conducting in-depth legal research, and drafting complex legal documents. This role is ideal for a technical expert who takes pride in case ownership, procedural accuracy, and delivering high-level results for clients.
Duties
- Provide day-to-day administrative support to lawyers across family, criminal, and civil matters.
- Conduct legal and factual research using tools such as CanLII and other online databases, as required.
- Prepare, draft, format, and finalize legal documents and correspondence, including motions, briefs, contracts, letters, and court forms, ensuring accuracy and compliance with applicable rules and standards.
- Organize, maintain, and update electronic and physical files, ensuring materials are properly saved, named, and easily retrievable.
- Manage calendaring, deadlines, and scheduling, including court dates, appointments, follow-ups, and limitation periods.
- Complete accurate data entry and maintain up-to-date records, contact lists, and file notes.
- Proofread and quality-check documents for grammar, punctuation, formatting, and consistency prior to filing or service.
- Assist with client intake, onboarding, and routine communications, including gathering information and documenting next steps.
- Coordinate filings, service, and delivery of documents with courts, opposing counsel, process servers, and other third parties as needed.
- Support client and witness interviews by preparing intake materials, organizing notes, and compiling documentation.
- Assist with basic marketing initiatives, including maintaining templates, coordinating outreach, and supporting administrative marketing tasks.
Qualifications and Experience
- Strong organizational skills with the ability to manage multiple files, priorities, and deadlines.
- Proficiency with legal document preparation and a working knowledge of legal terminology (preferred).
- Experience with practice management and document management systems, including CosmoLex (asset).
- Excellent research skills, including experience using CanLII and familiarity with tools such as LexisNexis (asset).
- High attention to detail and strong proofreading skills.
- Professional, client-focused communication skills (written and verbal).
- Prior experience in a legal setting (law firm, clinic, internship, or administrative legal role) is an asset but not required.
