Position Summary
The Junior Project Coordinator / HSE Administrator works closely with Project Managers, Construction Supervisors, Field Staff, and General Contractors to coordinate the administrative, scheduling, and health and safety aspects of commercial construction projects.
This role is ideal for an organized, detail-oriented individual who enjoys problem-solving, thrives in a fast-paced environment, and is looking to build a career in project coordination and construction safety.
Key Responsibilities
- Support Project Managers with project administration, documentation, and coordination.
- Schedule field crews and manage daily workforce assignments.
- Maintain employee time records and allocate labour hours to projects.
- Review and distribute shop drawings.
- Assist with change order administration.
- Maintain project documentation and document control systems.
- Prepare and submit project submittals.
- Compile Operations & Maintenance (O&M) manuals.
- Assist with progress billings and project invoicing.
- Administer the company's COR Health & Safety Program.
- Prepare and maintain Job Hazard Assessments (JHAs), inspections, audits, incident investigations, and WCB reporting.
- Assist with safety orientation, training records, and regulatory compliance.
- Provide administrative support for multiple active projects.
Required Qualifications
- Diploma or degree in a related field, or 1 -3 years of experience in a similar administrative or project support role.
- NCSO designation or delegation is considered an asset but is not required.
- Advanced proficiency with Microsoft Office (Word, Excel, Outlook, and Teams).
- Experience with SiteMax or similar construction management software is an asset.
- Strong digital literacy with the ability to create, edit, organize, and manage professional documents, spreadsheets, reports, project files, and correspondence.
- Ability to quickly learn new software platforms, document management systems, and online submission portals.
- High level of accuracy with scheduling, document control, data entry, reporting, and project administration.
- Excellent organizational and time management skills with the ability to manage competing priorities and meet deadlines.
- Strong written and verbal communication skills.
- Self-motivated, dependable, and detail-oriented.
Preferred Assets
- Previous experience in commercial construction.
- Experience supporting Project Managers or construction projects.
- Understanding of construction drawings and specifications.
- Knowledge of COR programs and construction safety practices.
- Experience with project scheduling and labour coordination.
