Summary of Duties, but not limited to :
Coordinate, schedule and support activities within WIHV such as rounds, team meetings, lunch and learn sessions, department check ins etc.
Organizes meetings and events by booking rooms, ordering food, preparing draft agendas, notifying guests, preparing minutes and following up on action items
Manage electronic calendar of the Chief Medical Innovation Officer (CMIO) with in depth knowledge of clinical, research and administrative responsibilities
Organize meetings and speaking engagements for the CMIO, including attendance at internal and external meetings, this may occasionally include travel arrangements
Update and maintain web CV, common CV; proofread, edit, format CVs for granting agencies as required
Act as a payroll timesheet keeper for all WIHV Staff
Provide a point of contact for all WIHV employees which includes hospital orientation, office set up including ID badge, email, phone, network access, furniture and computer
Send department-wide emails on behalf of WIHV
Receive and review documents for senior leadership signature

Post-secondary degree/diploma or combination of relevant education/experience
6 months to 3 years related experience providing support to senior executive/administrators in an academic or hospital environment
Front line experience providing administrative support to committees including taking minutes
Advanced skills in in MS Office (Word, PowerPoint, Excel, Outlook)
Experience in planning and organizing events, including large scale events for both internal and external attendees
Must have excellent organizational skills with strong attention to detail
Experience with Web CV and CV preparation for granting agencies
Exceptional communication and interpersonal skills, including the ability to concisely process, synthesize and verbally communicate in an efficient manner
Must have initiative; diplomacy and tact; experience dealing with highly sensitive and confidential matters is required
