Hours: Three days a week, with negotiable days (approximately 20-25 hours per week; flexibility required)
Compensation: Starting at CA$25.00 per hour, based on experience
About the Position
We are seeking a compassionate, organized, and dependable Medical Office Assistant (MOA) to join our growing practice. This is a remote, part-time position supporting a busy obstetrics and gynecology clinic. Responsibilities may evolve as the needs of the practice change.
Our patient population includes:
- General obstetrics and gynecology patients
- Pregnant and postpartum individuals
- Surgical patients
- Transgender and gender-diverse individuals
The successful candidate will provide administrative support while helping ensure the efficient day-to-day operation of the clinic and maintaining the highest standards of professionalism, confidentiality, and patient care.
Key Responsibilities
- Register patients and maintain electronic medical records (EMR)
- Schedule and coordinate patient appointments
- Answer, return, and triage telephone calls and emails
- Retrieve and manage voicemail messages
- Communicate test results when appropriate and as directed
- Receive, scan, upload, and file medical documents into the EMR
- Retrieve and process incoming faxes
- Coordinate surgical bookings, including preparing and faxing operating room documentation
- Arrange surgical assistants and maintain the surgical wait list
- Prepare invoices and complete other administrative tasks as required
- Coordinate outgoing mail and courier services for the clinic as needed
- Use the Accuro EMR system to accurately manage patient records and administrative workflows
- Perform additional duties as assigned to support clinic operations
Training
Comprehensive training will be provided, including:
- Medical terminology
- Electronic medical record (EMR) systems
Qualifications
We are looking for someone who is:
- Reliable, organized, and dependable
- Flexible and adaptable in a dynamic work environment
- An excellent communicator with strong interpersonal skills
- Committed to maintaining patient confidentiality and professional ethics
- Eager to learn and develop new skills
- Comfortable using computers and technology
- Proficient in Microsoft Word and Microsoft Excel
- Familiarity with a healthcare or medical office environment is considered an asset.
- Experience using Accuro EMR is considered a strong asset, and proficiency with the system is preferred
- MOA training or medical terminology courses are preferred
