About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our Administrative and Accounting department. As part of a collaborative administrative team, the candidate will help ensure smooth daily office operations and provide excellent customer service. The role will require strong prioritization skills and the ability to manage multiple tasks efficiently. Supporting both Accounts Payable and Accounts Receivable functions, the candidate must demonstrate strong teamwork and communication skills.

Responsibilities
- Provide exceptional customer support by professionally and courteously handling phone calls, and promptly responding to emails to ensure timely and effective communication.
- Maintain team email by organizing, saving, and processing helpdesk tickets as required.
- Keep both electronic and paper-based filing systems organized, ensuring documents are easily accessible.
- Support Accounts Payable by matching packing slips, entering and scanning invoices, resolving discrepancies, and preparing vendor payments.
- Enter credit card expenses and assist with monthly credit card statement reconciliation.
- Support Accounts Receivable by posting payments, issuing customer refunds, scanning daily deposit packages, and maintaining spreadsheets.
- Assist with customer account maintenance, credit applications, and providing general customer support and correspondence as needed.
Qualifications & Experience
- Previous experience in an office setting is required, with a focus on administrative or clerical responsibilities.
- Experience with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Previous customer service experience demonstrating excellent communication skills and professionalism
- Proven organizational skills with the ability to multitask efficiently
- High attention to detail and accuracy
- Strong computer skills with the ability to learn new software quickly.
- Exposure to basic accounting tasks, such as Accounts Payable or Accounts Receivable, is preferred
Job Types: Full-time, Permanent
Pay: $25.00-$30.00 per hour
