The Blueprint
The IT Procurement Specialist is responsible for managing the procurement cycle for IT hardware and software, ensuring cost-efficiency and effective inventory management. This role involves working closely with vendors, handling purchase orders and invoices, and maintaining software licenses. The Specialist will also contribute to asset management and audit activities to support the organization's IT infrastructure.
Key Responsibilities
IT Procurement
- Vendor and Order Management:
- Collaborate with vendors to obtain quotes for IT hardware and software.
- Place and track orders, ensuring timely delivery and accuracy.
- Process and manage invoices, ensuring they are accurate and submitted for payment in a timely manner.
- Purchase Order and Invoice Management:
- Create, submit, and upload purchase orders into procurement systems.
- Analyze and code invoices for accurate financial processing.
- Proficient with DocuSign to obtain the required signatures for purchase orders and invoices
- Software License and Asset Management:
- Manage software licenses, including tracking and updating license information.
- Assist with computer asset management, ensuring timely procurement and efficient use of IT equipment.
- Mobile Phone Management:
- Oversee procurement and management of mobile phones, balancing cost-effectiveness with user satisfaction.
- Computer Asset Management:
- Assist in managing IT assets to ensure timely purchase and efficient use of equipment.
- Procurement Systems and Reporting:
- Work with vendors to manage procurement websites and platforms.
- Skillfulness to qualify and quantify customer requests before placing procurement orders
- Support audit processes by providing detailed hardware and software reports.
- Internal Collaboration:
- Develop strong working relationships with the IT team and internal stakeholders.
- Communicate effectively with internal customers to understand and meet procurement needs.
- Audit Assistance:
- Performing audit activities by providing necessary hardware and software reports.
IT Experience Specialist
- User Experience Improvement:
- Deliver exceptional customer service by exceeding customers’ expectations while following each ticket to completion.
- Assess and enhance the usability and user experience of IT systems and applications. Collect feedback from users to identify areas for improvement.
- Support and Training:
- Provide technical support and training to end-users to help them navigate IT systems effectively.
- Issue Resolution:
- Troubleshoot and resolve user issues related to IT systems. Escalate complex problems to appropriate IT support teams.
The Architect of Your Success
- Minimum of 1 year of relevant experience as an IT Procurement Associate and proven experience in IT support. Additionally, a Bachelor’s degree in Information Technology, Computer Science, or a related field would be an asset.
- Familiarity with IT environments and procurement processes related to IT hardware and software.
- Strong working knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, PowerBI) and MS Teams and a strong understanding of IT systems, networks, and software applications.
- Strong analytical and problem-solving skills. Ability to think critically and address complex issues effectively.
- Demonstrated commitment to providing exceptional user support and improving the overall user experience.
- Initiative-taking, self-directed, and able to work independently or as part of a team.
- Excellent organizational skills with the ability to multitask and prioritize work.
- Superior communication skills, both verbal and written, with the ability to build relationships at all levels of the organization.
- Ability to anticipate needs, find alternative solutions, and proactively achieve desired outcomes.
