About the Role
As a Service Coordinator, you will play a key role in ensuring our service operations run smoothly from the initial customer call through to job completion and invoicing.
Working closely with customers, technicians, service managers, technical leads, and the parts department, you'll coordinate service activities, prioritize repairs, prepare quotations, and ensure an outstanding customer experience.
This role is ideal for someone who enjoys working in a fast-paced environment, can confidently manage multiple priorities, and takes pride in delivering exceptional service.
Key ResponsibilitiesService Coordination & Scheduling
- Schedule and dispatch field service technicians based on priority, location, and availability.
- Monitor work order progress and adjust schedules as required.
- Forecast labour requirements and support technician workload planning.
- Coordinate subcontractors and third-party vendors, including electricians, crane companies, permit providers, and specialized equipment rentals.
- Support safe job planning and job site coordination.
Customer Service & Communication
- Serve as the primary point of contact for customers throughout the service process.
- Provide regular updates regarding scheduling, repairs, quotations, and job completion.
- Build and maintain strong customer relationships by delivering professional and responsive service.
- Work closely with Customer Service Representatives to maintain a high level of customer satisfaction.
- Support key customer accounts and service programs as required.
Technical Coordination
- Review incoming service deficiencies and prioritize repairs based on urgency.
- Coordinate with Technical Leads to ensure accurate diagnosis and effective repair planning.
- Define repair paths and ensure work is completed efficiently while minimizing repeat service visits.
- Coordinate with the Parts Department to identify, source, and track all required parts.
- Monitor oil sample reports and support warranty claim processing where required.
Quotations & Repair Planning
- Work closely with Service Managers and Technical Leads to prepare accurate repair quotations.
- Coordinate quotations from outside vendors when required.
- Review quote turnaround times to ensure customers receive timely responses.
- Support the Estimating Team with larger repairs and projects.
Administration
- Create, manage, and close service work orders.
- Prepare accurate invoices upon completion of work.
- Maintain service records, documentation, and deficiency tracking databases.
- Support hiring and onboarding of service technicians as required.
Qualifications
- 2+ years of experience in service coordination, dispatching, service administration, customer service, or a related field.
- Strong computer aptitude with the ability to quickly learn new software and internal systems (this is a critical requirement).
- Experience coordinating multiple priorities in a fast-paced environment.
- Excellent communication and customer service skills.
- Strong organizational, planning, and time-management abilities.
- High attention to detail and strong problem-solving skills.
- Proficiency with Microsoft Office (Excel, Outlook, Word).
- Experience with ERP systems is considered an asset.
- Experience with warranty administration, quoting, invoicing, or service coordination is considered an asset.
- Mechanical, electrical, heavy equipment, automotive, construction, or power generation industry experience is considered an asset.
- Post-secondary education or equivalent work experience is preferred.
