Objective of the Position
The Executive Assistant at Spark Studios plays a pivotal role in the company to its ever-growing client base. This position combines event planning, marketing support, and client experience development to ensure every touchpoint at Spark Studios feels warm, organized, and true to our brand. The ideal candidate loves bringing ideas to life, thrives in a creative environment, and takes pride in keeping all the behind-the-scenes details running smoothly. The Executive Assistant will oversee receptionist client interactions, support the leadership team, assist in facilities management, and various operational aspects to enhance the overall effectiveness of the studio.
Work Availability
- Available 30–35 hours/week depending on season and studio needs
- Evening/weekend availability
- 3-4 Weekdays
- 1 Weekend full day

Key Responsibilities
Project Management
- Plan and execute studio events including recitals, photo days, themed weeks, company events, and open houses.
- Create and maintain detailed task lists and event timelines in Asana.
- Coordinate logistics such as schedules, décor, supplies, volunteer lists, and signage.
- Oversee event set-up, communication, and post-event wrap-ups.
- Track orders and vendor details as needed.
- Updating, maintaining, and creating project plans and systems
Front Desk & Administrative Support
- Provide warm, professional backup support at the front desk during peak periods.
- Assist families with class information, trial check-ins, or registration questions.
- Respond to inquiries via phone, text, and email with clarity and friendliness.
- Help maintain organized communication tools and digital files.
Client Experience & Enrolment
- Help refine behind-the-scenes parts of the customer journey: trial follow-ups, onboarding resources, and retention systems.
- Gather and share feedback to identify opportunities for improved service.
- Track and report weekly/monthly metrics on leads, enrollments, drops, and retention.
- Collaborate with the Director on enrollment goals and customer experience initiatives.
- Keep client experience systems, materials, family guides, and templates up to date and on brand.
Marketing & Campaigns
- Support execution of marketing campaigns tied to events and programs.
- Assist with newsletters, studio displays, and parent communication materials.
- Update Canva templates, Google Docs, or Regained CRM content for promotions.
- Help draft and proofread outgoing communication to maintain Spark’s voice and tone.
- Help organize and run marketing projects such as giveaways, contests, and themed promotions
Miscellaneous Administrative Support Tasks
- Basic Data Entry into Quickbooks & other accounting software
- Coordinating pick up of costumes & other studio supplies
- Running basic errands essential to studio operations
- Assistance in managing & organizing leadership’s schedule, appointments, and travel arrangements.
Computing/Technical Knowledge
- This position requires the use of various computer applications such as Asana, Missive, Dance Studio Pro, Google (drive, docs, forms, sheets), Canva, and Regained
- General computer skills are required and training is provided on studio software. Quick to learn studio tools (Dance Studio Pro, Asana, Regained CRM, Canva, Missive)
