ROLE DESCRIPTION
This role is responsible for reviewing technician-submitted work orders and time/material records, generating accurate client invoices, and ensuring all billing aligns with contract terms. The successful candidate will also attend biweekly meetings with the client and General Foreperson to review project status, completed work, and upcoming needs. Strong communication, attention to detail, and familiarity with contract documentation are essential for success in this role.
KEY RESPONSIBILITIES
Contract Administration
- Develop a thorough understanding of client contracts, including terms, scope of work, billing schedules, rates, and special conditions.
- Monitor contract compliance and proactively flag discrepancies or areas needing clarification.
- Maintain updated digital and physical records of all contract documents, amendments, and correspondence.
Billing & Work Order Processing
- Review and compile field work orders, time entries, and material usage reports submitted by technicians.
- Generate accurate and timely client invoices in accordance with contractual requirements.
- Track job codes, purchase orders, change orders, and cost allocations.
- Resolve billing discrepancies by liaising with technicians, supervisors, and the client.
Client & Internal Communication
- Attend biweekly meetings with the client and the company’s General Foreman to review: Completed and pending work, Project progress and status, and Upcoming needs and any issues
- Prepare meeting notes, reports, and action items as needed.
- Act as the primary point of contact for client billing inquiries and document requests.
- Administrative Support
- Maintain organized records of all billing documentation, technician submissions, and meeting summaries.
- Assist with data entry, scheduling, and any administrative tasks related to the project.
PERSON SPECIFICS & QUALIFICATIONS
- Proven experience in administrative, billing, or contract support roles (2+ years preferred).
- Strong understanding of invoicing, time and material tracking, and contract administration.
- Excellent attention to detail, numerical accuracy, and organizational skills.
- Proficiency in Microsoft Office (especially Excel and Outlook); experience with project or billing software is an asset.
- Strong communication and interpersonal skills; ability to interact professionally with technicians, management, and clients.
- Ability to handle sensitive information and meet strict deadlines with minimal supervision.
Work Environment
- This is a fulltime, office position with no possibility of working remote.
