Overview
Our very busy medical office is seeking for an enthusiastic clinical administrative/ medical office assistant with very flexible working hours (including evening shifts), strong ethics, interpersonal skills, and team player.
Responsibilities
Office/Clinical Administration Assistant
- Maintains business office inventory and equipment by checking stock to determine inventory level;
- Anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;
- Scheduling equipment service and repairs.
- Deal with different companies when the equipment is not working
- Make the staff schedule
- Provide support to Physician as needed
- Provide support to team members
- Provides pre-appointment patient information and conducts multiple contact with patients and clinics (phone/email)May obtain pre-appointment documentation from patient, community stakeholders or physician offices.
- Responsible for following procedures for indexing, reviewing physician referrals and directing where needed in order to schedule and complete the referral process.
- Maintain schedules for clinicians, book appointments, monitor cancellations, internal referrals, worklists and/or wait lists and follows up where necessary.
- Set up zoom links/meetings for virtual appointments for physicians where necessary.
- Replace the medical receptionist for lunch or days they are away.
- Manage Day-to-Day office Operations
Medical office assistant
- Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries.
- Maintain hygiene in the entrance and waiting rooms
- Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
- Keeps patient appointments on schedule by notifying provider of patient's arrival.
- reviewing service delivery compared to schedule.
- reminding provider of service delays.
- Comforts patients by anticipating patients' anxieties;
- answering patients' questions;
- maintaining the reception area.
- Ensures availability of treatment information by filing and retrieving patient records.
- Helps patients in distress by responding to emergencies.
- Protects patients' rights by maintaining confidentiality of personal and financial information.
- Maintains operations by following policies and procedures;
- reporting needed changes.
- Contributes to team effort by accomplishing related results as needed.
- Educating patients on surgery and surgical options, addressing fears, addressing financial concerns, scheduling patients for surgery, book patients on EMR and add them on cancellation lists as necessary
Experience
- Medical Office Assistant (MOA) Certificate preferred.
- Two years direct experience as receptionist preferred.
- Medical Terminology training is an asset.
- Experience with medical terminology or medical offices preferred.
- Equivalent education and experience may be considered.
- Experience with Accuro preferred.

Job Types: Full time for one year (maternity leave replacement) with possibility of full time job in a similar position.

- Secondary School (preferred)
Experience:
- Medical receptionist: 2 years (required)
- medical terminology or medical office 1 year (preferred)
- Accuro: 1 year (preferred)
