Position Available - Intake Assistant – Huntsville, ON

Brainworks is seeking a highly motivated, detail-oriented, and ambitious Intake Assistant for our Huntsville office! Full-time permanent position available immediately. Office hours are Monday to Friday, 9 a.m. – 5 p.m.
Intake at Brainworks primarily deals with colleting the information of potential clients and using that information to connect them with the services that best meet their needs. At Brainworks, we want to provide the highest quality service to clients and customers as our way of competing within the industries in which we operate. As such, it will be the responsibility of the Intake Assistant to ensure that all intake related tasks are completed in line with Brainworks’ strategy and goals.
Brainworks is a client-centred medical rehabilitation firm founded in 2003. We provide services in our offices in Huntsville and North Bay. We also provide services via travelling clinic, in client homes and by secure web interface. Registered social workers, neuropsychologists, psychologists, psychotherapists, and rehab therapists provide treatment and assessments for those living with the effects of brain injury, chronic pain, post-traumatic stress, and other mental health and brain health challenges. Services are typically funded by auto insurers, the WSIB, or other third-party funding sources.
·Support clients through the intake process in collaboration with other delegated team members to support clinicians in providing clinical services and to ease client stress during what can be a difficult time
·Navigate clinician and client schedules to book clinical assessments, with the goal of minimizing clinician downtime and reducing waits times for clients
·Track detailed information on the position of new referrals to ensure the process progresses efficiently
·Maintain client files in the software program by ensuring client communication and documentation is saved appropriately as clinicians and other administrators will need access to updated information
·Ensure referral sources, other relevant third parties, and the client themselves are kept up to date of their status throughout the intake process to ensure smooth transitions
·Promptly respond to routine correspondence from internal and external personnel to represent Brainworks professionally and ensure excellent communication
·Cover for the Administrative Assistant when necessary to ensure the main phone line and front desk are maintained
·Complete other tasks as needed and requested to uphold office efficiency

·Post-secondary education or a minimum of 5 years relevant experience is required
·A college diploma in office administration, health office administration or related field is preferred
·Experience in a medical or dental setting preferred
·Understanding of relevant privacy legislation and experience communicating with health care providers and insurers is a definite asset
