Position Summary
The Treatment Coordinator plays a key role in ensuring an exceptional patient experience by helping patients understand recommended treatment, coordinating appointments, discussing financial arrangements, and supporting the clinical team. The ideal candidate is organized, compassionate, detail-oriented, and committed to helping patients achieve optimal oral health.
Key Responsibilities
Patient Care & Communication
- Welcome and assist patients in a professional and friendly manner.
- Build rapport and create a positive patient experience.
- Explain treatment plans, procedures, and timelines in clear, patient-friendly language.
- Address patient questions and concerns with empathy and confidence.
- Follow up with patients regarding outstanding treatment and unscheduled care.
Treatment Coordination
- Present treatment plans and review fees and financial arrangements.
- Coordinate treatment sequencing and appointment scheduling with the dentist and clinical team.
- Assist patients in understanding insurance benefits and estimated out-of-pocket expenses.
- Monitor and maintain treatment acceptance and case completion rates.
- Track and follow up on incomplete or pending treatment plans.
Scheduling & Administrative Duties
- Schedule appointments efficiently to optimize provider productivity.
- Manage recalls and reactivation of overdue patients.
- Maintain accurate patient records and treatment notes.
- Ensure all consents, estimates, and required documentation are completed.
- Collaborate with the front desk and clinical team to maintain smooth daily operations.
Financial Coordination
- Discuss payment options and financing arrangements with patients.
- Process payments and maintain accurate financial records when required.
- Communicate insurance estimates while emphasizing that coverage is not guaranteed.
- Help patients maximize insurance benefits and understand their responsibilities.
Team Collaboration
- Work closely with dentists, hygienists, assistants, and administrative staff.
- Participate in team meetings and contribute to practice growth initiatives.
- Support a culture of professionalism, accountability, and patient-centered care.
Pay: $20.39-$36.73 per hour
