About the Role
We are seeking a detail-oriented Quality Associate to support the Quality Management System (QMS) in a regulated environment. This is an entry-level position ideal for candidates with a strong interest in quality, compliance, and documentation.
The successful candidate will work closely with the Quality Manager and play a key role in maintaining quality records, reviewing documentation, and supporting daily quality operations.
Key Responsibilities
- Assist in the review of donor files and daily donor floor forms for completeness and compliance with Good Documentation Practices (GDP); identify missing or incorrect information and follow up on required corrections
- Prepare next-day donor files and file completed records appropriately
- Maintain organized record-keeping systems (electronic and physical) to ensure traceability and easy retrieval of documents
- Identify and report nonconformities; assist with documenting, logging, and tracking quality records (e.g., NCRs, CAPAs), and follow up on incomplete documentation.
- Assist with maintaining training records, employee files, and competency tracking.
- Support equipment logs, calibration tracking, and preventive maintenance records; notify the Quality Manager of upcoming due dates.
- Assist with receiving inspection of critical supplies and verify compliance with established specifications
- Maintain lot traceability, update lot-in-use lists, and ensure FIFO is followed for released materials
- Maintain QMS documents and support document control activities, including SOP distribution, tracking staff acknowledgments, and ensuring current versions are available at the point of use.
- Assist in preparing documentation for internal audits, inspections, and quality reporting activities
- Provide general administrative and quality support as required
Qualifications:
- Diploma or degree in Science, or a related field
- 1–2 years of experience in a regulated environment (e.g., GMP or ISO 9001), including quality assurance or document control activities
- Basic understanding of quality concepts and regulated environments (e.g., documentation accuracy, record-keeping, and compliance with procedures)
- Strong attention to detail and organizational skills
- Proficient in Microsoft Office (Excel, Word)
