Job Summary
The Compensation & Benefits Administrative Assistant provides administrative and clerical support to the Compensation & Benefits team. This role manages People Services mailboxes, processes employee documentation, maintains and ensures accurate HRIS records, and supports routine and ad‑hoc activities related to pay, benefits, and pension (OMERS).
Key Responsibilities
HRIS & Data Management

Validate employee data entries in the City’s HRIS (ADP workforce Now).

Enters employee data into HRIS as required.

Maintains and organizes electronic employee files.

Supports the HRIS transition from ADP to Workday.
Mailbox & Document Administration
-
Manages "People Services Admin Package" and "Benefits Info" email inboxes.

Reviews employment contracts and OMERS forms for completeness and accuracy.

Ensures documents are accurately tracked, organized and followed up as required.

Responds to employee and supervisor inquiries by phone and in writing.
Compensation & Benefits Support

Administers the non-union pay grid progression process.

Supports the administration of the pension enrolment and buyback activities.

Issues and administers benefits change forms and notifications.

Supports the administration of benefit change communication.
General Administrative Support

Assists with the upload of People Services documents into internal website (Checkmark).

Supports the management and tracking of employee files and documents.

Supports the vacation reporting process.

Prepares employment verification letters as required.

Supports ad hoc and project based requests.
