Job Summary
We are seeking a highly organized and detail-oriented Executive Administrative Coordinator & Project & Operations Coordinator to support our team in managing daily operations, administrative tasks, and project coordination. This role offers both full-time and part-time opportunities and requires a proactive individual with strong multitasking abilities, excellent communication skills, and proficiency in various office software. The ideal candidate will be instrumental in ensuring smooth office functioning, maintaining accurate records, and supporting project execution to help our organization achieve its goals efficiently.
Responsibilities
- Manage and maintain calendars using Microsoft Outlook Calendar and Google Workspace to coordinate meetings, appointments, and deadlines.
- Handle front desk duties including greeting visitors, answering multi-line phone systems, and providing exceptional customer service with professional phone etiquette.
- Perform data entry, filing, and proofreading to ensure accuracy of documents, reports, and correspondence.
- Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
- Assist with administrative support including document preparation via DocuSign, managing office supplies, and organizing files.
- Support project management activities by tracking progress, preparing reports, and coordinating team communications.
- Maintain organized records of project documentation and operational procedures to ensure accessibility and compliance.
- Provide clerical support such as typing correspondence, managing emails, and performing general office duties to facilitate daily operations.
Experience
- Prior experience in an administrative or clerical role within an office environment is preferred.
- Proficiency with Microsoft Office Suite (Word, Excel), Microsoft Outlook Calendar, Google Workspace tools (Docs, Sheets), and multi-line phone systems is essential.
- Experience with QuickBooks or bookkeeping software is highly desirable.
- Strong organizational skills with the ability to manage multiple priorities efficiently.
- Excellent written and verbal communication skills with professional phone etiquette.
- Demonstrated ability to proofread documents accurately and perform data entry with high attention to detail.
- Office experience including front desk responsibilities or customer service roles will be considered a plus.

Pay: $48,193.89-$68,086.55 per year
