The Opportunity

Bodystream Medical Services currently has an opening for a full-time Medical Administrator to join our team. This is an excellent opportunity for those looking for a career in a specialized and rapidly growing healthcare company. The ideal candidate will assist in running a busy medical clinic.

  • Work Patient Tracker so that Management Goals are being met
  • Return all calls on Call log by the end of the day
  • OTN Troubleshooting during clinic
  • Answer Clinic Phone
  • Ensure clinics are fully booked by booking patients according to doctor booking requirements
  • Ensure Billing sheet is complete and faxed to Billing department by the end of clinic day
  • Fax Medical Documents by 10am the next day
  • Send email communication to doctor the day before the clinic
  • Run clinic: Assist patients during their appointment with the doctor and checking them into OSCAR (EMR System)
  • Perform urine testing
  • Provide LP Education & Registration for patients
  • Provide Take-Home Packages & Summaries to patients
  • Rebooking Follow-Up Appointments
  • Update Patient Demographics
  • Sending Notices of Cancellation for medical documents to patient care centre
  • Changing Licensed Producers
  • Appointment Reminder Emails & Calls
  • Sending Doctor Reminder Email
  • Ensure Patient Files are Ready for clinic day
  • Rescheduling Cancelled Appointments
  • Help gather and assist patients in the completion of Reassessment Forms.
  • Obtain Order History (Appointment Requirements)
  • Providing LP Support to other clinics when required
  • Initial Contact with New Patient
  • Complete Patient Demographics & Patient Tracker
  • Complete Step 2 with Patient
  • Complete Follow-Ups with Patient
  • Approve Intake Forms
  • Review and approve SMD/Dr. Referrals
  • Contact patients with denied SMD to request additional SMD
  • Booking Patient’s First Appointment
  • Refer Patients Wishing to Grow Their Own to Scheduling department
  • Daily Walk-Through to ensure there are no safety hazards before starting the day
  • Check and respond to voicemails throughout the day (all voicemails should be dealt with ASAP, no later than the same day they are received)
  • Check emails, and respond to them accordingly (all emails should be dealt with ASAP, no later than the same day they are received)
  • Review Communication Book daily (located in Google Docs)
  • Check mail daily
  • Complete Weekly Pre Clinic Tasks, if applicable (see page 3 of checklist)
  • Review Google Calendar to check for any changes
  • Punch in and punch out to record hours worked, plus any expenses and commission at the end of each day
  • Attend morning meeting at 8:45am each Monday (attendance mandatory)
  • Complete all Pre Clinic tasks in Training Module
  • Complete all Post Clinic tasks in Training Module
  • Complete all Patient onboarding tasks in Training module
  • Other duties as assigned
  • Previous experience in a customer service or medical position
  • Excellent communication skills, as a lot of time will be spent on the phone
  • Excellent computer skills
  • The ability to multi-task in a busy environment
  • Flexible hours (must be available to work evenings and weekends)
  • The ability to work independently, pay close attention to detail, and meet deadlines
  • Must be a team player, and have a positive attitude

This is a full-time position based out of Sudbury, ON.
