Reporting to the Clinical Director, Emergency, Medical/Surgical, and Allied Health, the On-Site After-Hours Administrator is the most senior management person on site and is responsible for addressing any and all issues that arise in consultation with the Senior Leadership Administrator on-call as required. Responsibilities include the coordination of patient flow for all corporate programs and services; providing support to all staff working on-site; and overall facility management. Hours for this role are 0700-1500 and 1500-0700, with on call 2300-0700 and availability committment of 37.5 hours in a biweekly pay period.
Key Responsibilities
Operational Support and Supervision
- Oversee day-today operations and act as the senior administrative authority during after-hours, including evenings, weekends, and holidays.
- Ensure adherence to corporate policies, including timely off-load of EMS patients, time-to-inpatient bed targets, and emergency department length of stay targets related to patient wait times and funding implications.
- Manage inpatient bed assignment and patient placement during high occupant and surge periods.
- Oversee patient transfers to other health care facilities in Canada or the United States.
- Facilitate the admission, discharge and transfer of patients in collaboration with all hospital services including the admitting and emergency departments and with the most responsible staff nurses (charge nurses/MRP’s).
- Identify issues and/or barriers to having patients admitted to in-patient beds and offering solutions to the issues identified.
Staff Coordination
- Understand the staffing ratios for all various programs, services and clinical and non-clinical areas and the variability of these ratios.
- Effectively administer the various Collective Agreements that govern staff across the entire hospital.
- Coordinate staffing resources according to patient and staff safety while optimizing operational efficiency.
- Ensure proper documentation of after-hours incidents, concerns, and actions taken.
- Foster clear communication with the staffing teams to ensure the effective flow of communication through the program and services and across the organization.
- Provide leadership to multi-disciplinary team with potential solutions and feedback regarding opportunities for improvement.
Qualifications
Essential Requirements:
- Bachelor's Degree in a healthcare-related field.
- Minimum 2 years leadership experience, preferably in a hospital supervisory/managerial capacity.
Preferred Assets:
- Previous experience in an after-hours administration or healthcare management role.
Physical and Cognitive Demands
- Frequent interaction with staff and interdisciplinary teams in a dynamic healthcare environment.
- High attention to detail required, in managing patient care and operational issues.
- Conflict resolution and crisis management skills necessary to navigate complex healthcare situations.
- Requires strong problem-solving and decision-making abilities to address patient care and operational challenges.
- Ability to work independently with a high degree of responsibility during after-hours.
