Warehouse & Logistics Coordinator

We are seeking an experienced Warehouse & Logistics Coordinator to oversee the daily movement of inventory and help ensure safe, accurate and efficient warehouse operations. This role coordinates inbound and outbound shipments, transportation, inventory control and logistics-related customer service.
The successful candidate will work closely with purchasing, production, customer service, suppliers, carriers and warehouse personnel to ensure materials and finished goods are delivered accurately, on time and in full.
Key Responsibilities
Logistics and Transportation
- Arrange domestic and international transportation.
- Obtain freight quotations and select carriers based on cost, service and transit time.
- Prepare bills of lading, packing slips, commercial invoices, customs documentation and certificates of origin.
- Track shipments from origin to destination.
- Resolve freight delays, damages, shortages and claims.
- Coordinate expedited shipments when required.
- Monitor carrier performance and freight costs.
Inventory Management
- Maintain accurate inventory records and ERP transactions.
- Monitor inventory levels and identify potential shortages.
- Coordinate replenishment activities with the purchasing team.
- Ensure FIFO practices are followed where applicable.
- Support cycle counts and inventory reconciliation.
- Help establish and maintain effective inventory-control procedures.
Supplier and Warehouse Coordination
- Coordinate inbound shipments with suppliers.
- Ensure suppliers meet established shipping requirements.
- Monitor supplier delivery performance.
- Investigate and resolve receiving discrepancies.
- Support transportation planning and warehouse optimization.
- Promote safe loading, unloading and material-handling practices.
Documentation and Administration
- Maintain complete and accurate shipping and receiving records.
- Update the ERP system with shipment and inventory information.
- Develop and document warehouse procedures, work instructions and training materials.
- Support warehouse-related ERP enhancements and reporting tools.
Continuous Improvement and Safety
- Identify opportunities to improve warehouse efficiency, inventory accuracy and material flow.
- Recommend and implement process improvements.
- Support Lean initiatives and logistics cost-reduction projects.
- Promote a clean, organized and safe working environment.
- Participate in workplace health and safety initiatives.
Qualifications
- College diploma in Supply Chain Management, Logistics, Business Administration or a related field is preferred. An equivalent combination of education and experience will be considered.
- Three to five years of warehouse and logistics coordination experience, preferably within manufacturing or distribution.
- Experience coordinating domestic and international shipments.
- Knowledge of freight management, customs documentation, shipping and receiving, inventory control and warehouse operations.
- Experience using an ERP system such as SAP, Oracle, Microsoft Dynamics, Flute or a comparable platform.
- Proficiency with Microsoft Excel, Outlook and Word.
- Strong knowledge of the Greater Toronto Area and Southern Ontario.
- Excellent planning, prioritization, time-management and problem-solving abilities.
- Strong attention to detail and a commitment to inventory, order and ERP accuracy.
- Professional verbal and written communication skills.
- Ability to work effectively with suppliers, carriers, customers and internal departments.
- Proactive, reliable and comfortable managing multiple priorities in a fast-paced environment.
Physical and Work Requirements
- Ability to work in both office and warehouse environments.
- Ability to stand or walk for extended periods.
- Ability to occasionally lift up to 50 lbs.
- Ability to safely operate warehouse equipment following appropriate training.
Pay: $60,000.00-$65,000.00 per year
