Admin & Rental Manager
Full-Time | Monday–Friday | 40 Hours per Week

Position Summary
The Admin & Rental Manager reports directly to the General Manager and is responsible for overseeing front office operations, administrative services, facility rentals, and customer service functions. This position supervises administrative staff, manages the facility rentals portfolio and related financial processes, and supports the efficient day-to-day operation of Century Hall.
As a member of the Management Team, the Admin & Rental Manager provides leadership, guidance, and support to staff while ensuring exceptional service to residents, program participants, renters, and the community.
Key Responsibilities
Office Administration & Team Leadership
- Oversee the daily operations of the front office.
- Supervise, mentor, and support a team consisting of 1 full-time employee and 5 part-time employees.
- Coordinate staff onboarding, training, and ongoing development within the department.
- Facilitate scheduling, performance management, and front desk staff support.
- Ensure high standards of customer service are consistently maintained.
- Participate as a member of the Operations Management Team.
- Oversee and lead annual fee collection processes and resident communications
Rental Management
- Manage all aspects of facility rentals, including short-term bookings such as weddings, birthdays, meetings, and community events.
- Administer long-term rental agreements and continuous contracts (6–12+ months).
- Prepare, review, and manage rental contracts and related documentation.
- Coordinate rental inquiries, bookings, payments, and customer communications.
- Ensure compliance with rental policies and contractual obligations.
Financial Administration
- Process customer payments and maintain accurate records.
- Manage accounts payable functions.
- Complete bank deposits and reconciliations.
- Assist with budget monitoring and financial administration.
- Support accurate reporting and recordkeeping.
Customer Service & Communications
- Respond to inquiries by phone, email, and in person.
- Resolve customer concerns professionally and effectively.
- Maintain positive relationships with residents, renters, vendors, and stakeholders.
Office Operations
- Coordinate office equipment leases and service providers.
- Manage office supply purchasing and inventory.
- Support front desk operations and administrative systems.
- Assist the General Manager with special projects and additional duties as assigned.
Qualifications
Required
- 4–5 years of management or supervisory experience.
- Post-secondary education in Business Administration, Office Administration, Accounting, Hospitality Management, or a related field; Equivalent combination of education and relevant work experience may be considered
- Proven customer service and client relationship experience.
- Experience managing contracts, accounts, budgets, accounts payable, and payment processing.
- Proficiency with QuickBooks, PerfectMind, Microsoft Excel, Word, and Outlook.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong administrative and organizational skills.
- Valid and satisfactory Criminal Record Check with Vulnerable Sector Screening as a condition of employment.
