Job Overview
We are seeking a detail-oriented and organized Production Administrator to join our manufacturing team. Reporting to the Production Manager, the Production Administrator, is an integral part of the ALCO Energy Solutions team. The Production Administrator supports daily operations within a manufacturing environment by monitoring production schedules, maintaining documentation, tracking labor and material usage, and supporting communication between the shop floor, project teams, vendors, and finance. This role helps ensure materials, drawings, welding consumables, and outsourced services are available when needed to keep production moving safely, efficiently, and on schedule.
Duties
- Schedule, coordinate, and lead production and project meetings, including record keeping and follow-up actions.
- Maintain and update the production schedule to align labor, materials, shop capacity, and project deadlines.
- Ensure drawings, work packages, and controlled documents are issued to the shop floor in accordance with company quality control and document control procedures.
- Track manhours against project budgets or provisions and provide timely updates to management.
- Conduct routine visual reviews of work in progress on the shop floor to verify fabrication status supports the production schedule.
- Identify production risks, bottlenecks, or material shortages and communicate concerns promptly with recommended solutions.
- Review drawings and project requirements to identify work that can be outsourced to improve efficiency and reduce production costs.
- Obtain accurate and competitive quotes from vendors and subcontractors and complete material requisitions in accordance with purchasing procedures.
- Follow up with vendors on purchase orders, delivery dates, shortages, and order status to avoid delays to fabrication and welding activities.
- Support vendor qualification activities for outsourced fabrication, machining, coatings, or specialty services.
- Assist the Production Manager with coordinating fabrication activities, material availability, labor allocation, and project priorities.
- Coordinate contract labor and verify the accuracy of contractor timecards and invoices before processing.
- Prepare material requisitions and help ensure purchase orders are properly received and closed when work is complete.
- Manage ordering, tracking, and replenishment of welding-related consumables, including filler metals, electrodes, wire, shielding gas, tips, nozzles, and other welding related items.
- Monitor usage levels of welding consumables and shop supplies to maintain appropriate stock levels and reduce downtime caused by shortages or over-ordering.
- Work with welding supervisors, foremen, and vendors to ensure consumables meet job specifications, quality requirements, and delivery timelines.
- Assist with onboarding activities for new employees as required.
- Perform other related duties as assigned.
Qualifications
- High school diploma required; post-secondary education in business administration, operations, manufacturing, supply chain, or a related field is considered an asset.
- Experience in production, manufacturing, fabrication, welding, or industrial administrative role preferred.
- Working knowledge of fabrication and welding processes, shop flow, drawings, and production documentation.
- Experience with purchasing, material requisitions, vendor coordination, and inventory or consumables management.
- Familiarity with welding consumables and related shop supplies, including the ability to understand specification requirements and reorder needs.
- Strong computer skills, including Microsoft Office and experience with ERP, MRP, or production tracking systems.
- Strong organizational, communication, and time-management skills with the ability to manage multiple priorities in a fast-paced shop environment.
- Attention to detail and ability to maintain accurate records, reports, and supporting documentation.
Physical Requirements
- Ability to perform job duties that may require sitting, standing and walking for extended periods
- Ability to perform repetitive tasks, including keyboarding, data entry and document handling
- Ability to bend, crouch, kneel, reach and stretch as required to perform job duties
- Ability to lift, carry, push or pull items 30lbs in accordance with safe work practices
- Ability to work in various environments (office, site, warehouse, etc.,) as required by the role
- Ability to operate standard office equipment or role-specific tools safely
