MINIMUM FORMAL EDUCATION/TRAINING:
- A Bachelor’s degree, preferably with a major in management information systems, accounting and finance, business administration, public administration, computer information systems or a related field, or equivalent combination of education and experience is required.
- Certified Business Analysis Professional (CBAP) certification, preferred.
EXPERIENCE:
- A minimum of four years of directly related experience with enterprise systems in higher education and experience in Business Analysis, gathering requirements, documenting workflows, required.
- Experience in the functional configuration, modification or maintenance of complex relational databases, required.
- Experience in creating and documenting test cases, test plans and conducting testing is required.
- Experience with business processes improvements is required.
- Experience working with BPMN (Business Process Notation) is required.
- Experience training and supporting system end-users is required.
- A successful track record of forming relationships and working with others across departments and within teams, required.
- Experience in interpreting rules, regulations, and business processes at the University of Manitoba, preferred.
- Experience configuring Banner or equivalent student information system, preferred.
- Experience with academic advising, registering in a post-secondary institution and room booking is preferred.
- Expert-level knowledge in student information systems is required.
- Knowledge of fundamentals of change management, process improvement and communications is required.
- Knowledge of goals and objectives of university academic records functions is required.
- Knowledge of University of Manitoba’s curriculum and courses is required.
- Knowledge of complex higher education student information systems design and operation including characteristics and capabilities of information processing is required.
- Knowledge of fundamentals of functional systems analysis, configuration and testing and methods of developing operational process specifications is required.
- Knowledge of principles of reporting using sets and subsets is required.
- Knowledge of professional standards for key business systems and procedures, and methods pertinent to assigned area including laws, ordinances, codes, and regulations (FIPPA/PHIA) related to student systems information processing is required.
- Knowledge of principles of program documentation and training is required.
- Knowledge business process mapping and re-engineering is required.
- Knowledge of the inter-relationships of campus departments and the basis of faculty specific policies and practices is required.
- Knowledge of University of Manitoba governance and the RO’s role in its application is required.
- An acceptable equivalent combination of education and experience may be considered.

Analysis
- Investigate new software functionality and design technical solutions to address operational and end-user requirements.
- Analyze and evaluate existing business functions and processes related to SIS (Banner), including general person, registration, grading, academic history, and room bookings, course scheduling, fee assessment, tax forms, reporting, course/catalog management, student records, reporting, degree audit, BDM, workflow and other student and academic systems.
- Make recommendations to change business processes and develop enhanced functions to better meet needs of ORES, students, academic units, and administrative units across the university.
- Lead detailed stakeholder interviews and facilitate workshops to gather comprehensive business requirements. Utilize business analysis techniques and root cause analysis to understand business needs and challenges thoroughly.
- Build technical solutions within Aurora & Banner using tools that may include Ellucian Workflow (Process Maker), Ellucian Experience, Banner Configurations, and the Microsoft Power Platform.
- Lead the implementation of new software, and enhancements to existing systems, working closely with vendor team members.
- Liaise closely with IST team members to facilitate solution implementation and troubleshooting.
- Identify and implement productivity tools that can be used to improve the efficiency of service delivery and records management.
- Maintain knowledge about software feature changes and introductions.
- Maintain effective working relationships with vendor consultants.
- Identify, analyze, and report software defects.
- Test, troubleshoot and ensure data integrity of all vendor updates and patches to the systems prior to release to the production system.
- Develop specific modifications/customizations to the system/software in collaboration with ORES and IST team members.
- Evaluate system data and develop specifications for end-user operational reports. Ensure error reports are assigned and dealt with in a timely manner.
- Maintain a broad up-to-date knowledge of the student information system/room booking software and other RO systems through individual self-study and research, attendance at seminars, lectures, webinars, training sessions and conferences.
- Develop relationships/contacts with other institutions using the same or similar software(s).
Training/Documentation/Coaching
- Document system configuration, coding structures, system processes, business processes and customizations.
- Track and document changes in functional and business practices and write detailed procedures that can be easily understood by end-users.
- Deliver training and develop training materials for stakeholders across the institution.
- Provide technical assistance, mentoring, and coaching to system end-users.
- Support the work performed by other team members, including Records & Services Advisors by providing training, documentation, and knowledge transfer.
- Maintain in-depth knowledge and understanding of tasks related to the maintenance of student records.
- Other duties as assigned.
