Reporting to the Manager of Human Resources, the HR Coordinator plays a key role in supporting our HR team and enhancing the employee experience. This position focuses on ensuring a smooth onboarding process for new hires, including processing documentation and maintaining organized employee files. The HR Coordinator also provides essential administrative support, such as managing correspondence, drafting offer letters and addressing basic HR inquiries. Additionally, this role assists with recruitment efforts by posting job advertisements, scheduling interviews and conducting reference checks to help find the right talent.
Maintaining accurate employee records in systems like ADP and Alayacare is another important responsibility, ensuring we stay compliant and organized. The HR Coordinator also helps organize training and development programs, ensuring everything runs smoothly and participants are well-informed. Strong organizational skills and attention to detail are crucial for success in this dynamic role.
Your Role Will Involve:
Talent Acquisition
· Collaborate with hiring managers to assess hiring needs and make recommendations for hires.
· Assist in reviewing the internal talent pool succession grids to identify potential internal candidates.
· Assist with the recruitment process Support the recruitment process by posting job advertisements, scheduling interviews, coordinating candidate communication, and assisting with job offers and onboarding.
· Conduct reference checks and ensure a smooth transition for new hires.
· Assist in monitoring and reporting on key talent acquisition metrics.
Onboarding and Employee Documentation:
· Assist in coordinating and facilitating the successful onboarding of new employees.
· Process new employee documentation and maintain accurate employee files.
· Prepare new hire packages.
Administrative Support:
· Create and maintain employee files, ensuring effective control and traceability of all correspondence.
· Assist the HR team with administrative tasks such as drafting offer letters, creating documents, making copies, filing, scanning, and sending emails.
· Provide general administrative support to the HR team, including managing calendars, scheduling meetings, and preparing documents.
Training and Development:
· Assist in organizing training and development programs, including logistics and participant communication.
HR Inquiries and Support:
· Handle basic HR inquiries from employees and direct complex issues to appropriate HR personnel.
Project and Ad Hoc Tasks:
· Support ad hoc HR projects as assigned.
· Assist with other HR projects and initiatives as needed.
Record Management and Maintenance
· Maintain human resource databases software applications and both digital and physical filing systems.
· Maintain employee records and ensure data accuracy in SUTI and Alaya Care.
· Maintain accurate vacation and sick time tracking.
· Manage employee files, medical records, and employee relations investigation files in accordance with PIPEDA standards.
Policy Administration
· Recommend changes to policies and procedures based on evolving legislative and organization requirements.
What We’re Looking For:
· Bachelor’s degree or College diploma in Human Resources or Business Administration or an equivalent combination of experience and education; Minimum four (3) years’ experience in a similar role.
· Experience screening applicants and coordinating recruitment processes.
· Strong knowledge of the Employment Standards Act, Occupational Health & Safety, Human Rights Code is required.
· Strong written and communication skills in English are essential.
· Excellent organizational and time management skills and attention to detail is essential.
· Computer and numerical literacy is essential and good knowledge of all MS Office applications; Proven experience using HRIS systems i.e. SAP, Workday, ADP, SutiHR, QHR, CIMS
· Ability to handle highly confidential and sensitive information.
· High level of energy, a positive attitude with the ability to multi-task in a fast-paced environment.
· Outstanding interpersonal, relationship building, communication and customer focus skills required
· Ability to work in a fast-paced work environment
· Valid Vulnerable Police Record Check completed within last 12 months is required.
· Fluency in another language is an asset.
· Mandatory COVID-19 vaccination required
Pay: $40,000.00-$50,000.00 per year
