We are seeking a professional and organized Front Desk Receptionist to join our team. Duties
- Greet visitors and clients promptly and professionally, creating a welcoming atmosphere
- Answer multi-line phone systems, directing calls appropriately and taking detailed messages
- Manage appointment scheduling and confirmations using office management software.
- Perform data entry tasks accurately, maintaining up-to-date records and files
- Handle administrative responsibilities including filing, photocopying, and proofreading documents
- Assist with billing, bookkeeping, and basic financial recordkeeping as needed
- Support office operations by coordinating correspondence, managing supplies, and ensuring the front desk area remains organized
- Provide excellent customer support by addressing inquiries efficiently and courteously
- Maintain confidentiality of sensitive information in compliance with company policies
Skills
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent computer skills with the ability to perform data entry quickly and accurately
- Previous clerical or administrative experience, especially in medical or dental offices, is highly desirable
- Exceptional customer service skills with professional phone etiquette and organizational abilities
- Ability to manage multi-line phone systems effectively and handle high call volumes
- Strong typing skills with attention to detail for proofreading and document accuracy
- Ability to prioritize tasks efficiently in a fast-paced environment
- Knowledge of front desk procedures, filing systems, and basic bookkeeping practices is advantageous
