Administrative Coordinator, Flu Campaign

Location: 321 6th Ave SW, Suite 960, Calgary (AB), T2P 3H3

Status: Temporary (6 months), full time

Schedule: Monday to Friday

Job description

The Administrative Coordinator will act as the main point of contact to coordinate all aspects of on-site influenza vaccination clinics.

Roles and Responsibilities

Plan and coordinate all client aspects including clinic scheduling, contracts, billing, patient consents, etc.
Plan and coordinate all nurse scheduling, packing of supplies, job assignments and payment for Nurses
Assist management in sourcing and coordinating Nurses
Distribute handouts and literature to clients and staff regarding flu shot clinics
Monitor and manage all required medical supply inventory
Respond to client inquiries and ensure clients are kept up to date throughout the process
General filing, scanning and other administrative support tasks
Work collaboratively and effectively with all team members to ensure successful flu clinics for each client

Qualifications and Skills

Completion of high school or equivalent
3-4 years of relevant experience working in a fast paced environment, providing a high degree of customer service
Previous experience in event planning and coordination strongly preferred
Excellent command of the English language, both verbal and written
Exhibits a professional image, mature communication style and polished telephone manner with clients
Ability to handle sensitive situations with tact while respecting patient confidentiality at all times
Self-starter who demonstrates attention to detail, a high level of accountability and sound judgement
Demonstrates flexibility and the ability to work effectively in a team environment
Works well under pressure and demonstrates a sense of urgency in completing time sensitive tasks
Demonstrates effective organizational, multitasking and problem solving abilities
Proficient with Microsoft Office applications (Word, Outlook, Excel and PowerPoint)
