SHIPPING ADMINISTRATIVE COORDINATOR – CANADA

Reports To: Shipping Supervisor
POSITION PURPOSE
The Shipping Administrative Coordinator Canada is responsible for supporting the accurate and timely processing and shipment of customer orders within Canada.
This position coordinates order release, freight arrangements, shipping documentation and inventory transactions while working closely with the warehouse, carriers, Customer Service and other internal teams to ensure customer delivery requirements are met.
The role is focused on domestic Canadian shipments
REPORTING RELATIONSHIP
This position reports directly to the Shipping Supervisor and works closely with Warehouse employees and other departments supporting customer order fulfillment.
This position does not have direct reports.
ESSENTIAL FUNCTIONS
Order Processing & Inventory Management
Select, sort, process and confirm that all work is accurate, make any corrections before printing and releasing to warehouse for shipment. Process shipping transactions through D365 and ensure inventory is accurately relieved as orders are shipped.
Domestic Freight Coordination
Arrange freight pickups and deliveries with approved Canadian carriers based on customer requirements, service expectations and cost. Coordinate collect freight arrangements when required.
Shipping Documentation
Prepare and organize bills of lading, shipping labels, barcode labels, manifests and other documentation required by customers, carriers and the Shipping department.
Customer Shipping Requirements
Ensure shipments comply with customer-specific routing, labeling, documentation and delivery requirements. Coordinate appointments or other delivery requirements when applicable.
Shipment Execution & Follow-Up
Monitor daily shipping activity and work with carriers and internal teams to help resolve shipment delays, documentation issues, delivery discrepancies or other shipping-related concerns.
Inventory & Transaction Verification
Verify shipping and inventory transactions against supporting documentation. Assist in resolving discrepancies and maintain accurate system records.
Warehouse Coordination
Work closely with Warehouse employees to prioritize and execute daily shipments and provide administrative support required to maintain efficient shipping operations.
Department Operational Support
Support the Shipping Supervisor with daily administrative activities, shipping equipment and systems, documentation and other operational requirements.
Cross-Functional Support
Communicate with Customer Service, Sales, Finance and other departments as required to resolve order or shipping issues and support customer service expectations.
PRINCIPAL ACCOUNTABILITIES
- Process and release customer orders accurately and on schedule.
- Ensure inventory is accurately relieved as shipments are processed.
- Coordinate freight pickups with approved domestic carriers.
- Select appropriate carriers based on customer requirements, delivery timing and cost.
- Prepare bills of lading, shipping labels, barcodes and manifests.
- Ensure customer-specific shipping and routing requirements are followed.
- Maintain accurate shipping documentation and system transactions.
- Verify shipping transactions and assist in resolving discrepancies.
- Coordinate with Customer Service and other internal teams regarding shipment status and delivery issues.
- Support the daily administrative activities of the Shipping department.
- Assist Warehouse employees with shipping-related activities as required.
- Provide administrative coverage and support to the Shipping Supervisor as required.
- Perform other duties as assigned.
The original JD similarly emphasizes daily order release, freight-company coordination, label/barcode preparation, transaction verification and administrative support to the Shipping department.
MINIMUM REQUIREMENTS
- High School Diploma or equivalent required.
- Previous administrative, shipping, logistics, warehouse or customer order experience preferred.
- Strong computer and data-entry skills required.
- Experience with ERP/WMS systems preferred; D365 experience is an asset.
- Strong attention to detail and commitment to accuracy.
- Strong organizational and time-management skills.
- Ability to prioritize multiple shipments and customer requirements in a fast-paced environment.
- Strong verbal and written communication skills.
- Ability to work effectively with Warehouse employees, carriers and cross-functional teams.
- Customer-focused with a strong sense of urgency and follow-through.
Pay: $18.52-$29.72 per hour
