ZANN Dental Laboratory is a growing, full-service dental laboratory committed to delivering high-quality restorations and reliable service to dental professionals. We are looking for an experienced and highly professional Receptionist / Administrative Coordinator to join our North York team.
This role is critical in ensuring smooth daily operations, timely case management, and strong communication with dental offices.
Position Overview
We are seeking a highly organized professional with minimum 4–5 years of experience in administration, reception, or client coordination. The ideal candidate will be confident in communication, able to manage workflow across departments, and ensure all dental cases are tracked and delivered on time.
This is a fast-paced role that requires strong responsibility, attention to detail, and excellent communication skills.
Key Responsibilities
- Serve as the primary point of contact for incoming calls, emails, and client inquiries in a professional manner.
- Communicate directly with dental offices regarding case updates, requirements, and scheduling.
- Maintain strong, professional relationships with dentists and dental office staff through clear and consistent communication.
- Oversee daily administrative operations of the dental laboratory to ensure smooth workflow across all departments.
- Coordinate and manage case intake, tracking, and ensure all cases are sent out on time according to schedule.
- Conduct daily follow-ups with each department to ensure all scheduled cases are progressing and prioritized correctly.
- Monitor case progress across departments to ensure timely completion and delivery commitments are met.
- Organize courier pickups, deliveries, and logistics coordination.
- Maintain accurate records of all incoming and outgoing cases, client communication, and case status.
- Support internal teams by ensuring workflow alignment and proactively addressing delays or issues.
- Perform general administrative duties including data entry, documentation, and reporting.
- Maintain a high level of professionalism in all communication with strong verbal and written English skills required.
- Ensure a well-organized, client-ready, and professional front desk environment at all times.
Requirements
- Minimum 4–5 years of experience in receptionist, administrative, or client coordination roles.
- Strong communication skills with the ability to speak and write professional English clearly and confidently.
- Experience in customer service, office coordination, or front desk operations.
- Strong organizational and multitasking abilities in a fast-paced environment.
- High attention to detail and ability to manage multiple priorities.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Ability to work independently and take ownership of responsibilities.
- Professional attitude, punctuality, and reliability.
Preferred Experience
- Dental office, dental laboratory, or healthcare experience is an asset.
- Experience handling high-volume client communication.
- Familiarity with case tracking or workflow coordination systems.
Location Requirement
This position is based in North York, Ontario (In-Person).
Candidates must be able to commute reliably or be willing to relocate nearby.
