In this role, you will join our fast-paced, highly skilled, and dynamic administrative team at the Oakville location, providing a wide range of client support and clerical duties. As the liaison between clients and other team members (therapists, medical practitioners, assessment team members, etc.), the ideal candidate is ready to dive in and learn all the detailed intricacies of our clinic, to help ensure processes and services run smoothly.
What You’ll Do:
- Build and continuously deepen your understanding of Springboard’s services, client journey, and pricing to confidently and accurately respond to client and team questions.
- Manage a high volume of emails and phone calls from current/potential clients and stakeholders.
- Assessment coordination: sending questionnaires, confirmation emails, prepping client files, billing, appointment follow-up.
- Support the intake team in managing new client inquiries, including scheduling Intake Calls and sending informational emails.
- Check in clients and maintain the EMR appointment statuses; following up as needed for any late cancellations or no-shows.
- Redirect client questions and updates to appropriate staff members: internal messaging and/or following up with clients/staff.
- Reaching out to clients about a variety of topics, including outstanding invoices, pending physician referrals, and incomplete documentation.
- With consent, communicate with external stakeholders surrounding sensitive and confidential client information.
- Ensure timely and accurate work pertaining to client accounts, emails/phone communications, and billing.
What You’ll Bring:
- Minimum 2-3 years of administrative experience; previous experience working in a health care environment is strongly preferred.
- A completed undergraduate degree in a related field of study, or a certificate in administration with additional workplace experience.
- Advanced communication skills (verbal and written) - polite, patient, and respectful interpersonal communication abilities.
- Ability to adapt to shifting priorities and proven experience in multitasking while completing responsibilities in a timely manner.
- Comfortable using multiple technology systems in tandem and capable of learning new software platforms in a timely manner.
Commitment and Compensation:
- Work Hours: 28 Hours per week; scheduled across weekday afternoon/evenings until 8pm + Saturdays (Saturdays are mandatory)
- Salary: $20/hr
- Ability to provide additional ad-hoc coverage as needed is an asset
- Training to begin early July 2026
