Job Summary:

Reporting to the Chief Operating Officer (COO), the Coordinator, Projects is responsible for researching and developing new project initiatives as well and identifying and evaluating opportunities for growth and expansion of the unit, and for the evaluation and review of existing programs and processes to ensure optimum coordination and integration of time and resources. The Coordinator, Projects applies business and project process concepts to analyze and diagnose problems and recommend solutions to complex issues. The Coordinator, Projects contributes to creating a strong team environment by fostering trust and mutual respect, and supporting open dialogue on issues that allow for the optimization of CFRI’s projects and strategic goals. The role also supports CFRI’s efforts to continually improve on the high quality of service provided to CFRI’s research community
Duties/Accountabilities:
- Researches and develops project methodology, processes, tools, templates and techniques to effectively manage initiatives and projects as assigned. Collects background information for discussion with scientific, clinical, supervisory and administrative staff.
- Identifies, problem solves and works to remove barriers to successful completion of projects with an emphasis on resolving issues and facilitating collaborative relationships with all stakeholders. Coordinates and develops business cases for new initiatives.
- As directed develops, prioritizes and implements project management timelines and work plans and assists with the clarification of project objectives to ensure that objectives of the project plan are met. Advises on implementation issues and prepares reports, briefings and presentations researching elements as required.
- Provides timely verbal updates and reports on project status to the Director, Research & Education Services as required.
- Participates in the design, development and implementation of operating parameters, changes and policies and procedures for projects and processes by assisting with researching data, making recommendations and developing options.
- Provides support for special projects as assigned by the COO and other CFRI Management to address CFRI program and administrative issues.
- Researches writes, develops and/or reviews business plans, analyses and reports. Prepares appropriate analysis and reviews other proposals for accuracy and completeness.
- Working with the COO coordinates and compiles review documentation and portfolios, and reviews itineraries and logistics for Program Reviews.
- Responsible for verifying statistical information compiled in support of ongoing RES processes as directed.
- Plans, develops and prepares briefing notes; drafts relevant project documentation such as policies, procedures, guidelines, terms of reference, resource manuals, program notes for review as assigned. Provides recommendations for process improvement and evaluates alternative procedural and systematic solutions to effectively meet business needs, and monitors and evaluates the outcomes
- Performs other related duties as assigned.
Qualifications:
A level of education, training, and experience equivalent to an undergraduate degree in a related discipline and a minimum of five (5) to seven (7) years of recent related experience in project management in a health care or university setting. Certification as a Project Management Professional an asset.
Demonstrated project facilitation skills with an emphasis on project planning or business case development. Ability to problem solve with a global perspective to incorporate existing systems and strategies when developing viable solutions to problems. Excellent verbal and written communication skills. Strong facilitation and presentation skills. Demonstrated analytical skills including the ability to comprehend complex issues and related data/information and present information in concise, meaningful ways. Ability to deal with ambiguous situations, and collaborate with diverse stakeholders and build consensus. Proven ability to assess and anticipate future needs and identify potential problems. Proven ability to build and maintain effective relationships with stakeholders and staff at all levels throughout the organization using skill, tact and diplomacy. Ability to productively use spreadsheet, word processing, presentation and database applications.
