We are seeking a detail-oriented and organized Accounts Payable / Accounts Receivable & Office Administrator with construction industry experience to manage day-to-day accounting transactions while providing front office administrative support. This role is ideal for someone who enjoys balancing accounting responsibilities with customer service and office administration.
The successful candidate will have strong bookkeeping skills, experience with job costing, and hands-on knowledge of QuickBooks Online (QBO). In addition to managing accounts payable and receivable, this position will serve as the first point of contact for customers and vendors by answering phones, greeting visitors, and supporting the daily operations of the office.
This is a part-time hybrid position. The successful candidate is required to work in the office on Tuesdays and Thursdays, with remote work as required during the remainder of the week based on workload and business needs.
Compensation: $25.00–$35.00 per hour, depending on experience and qualifications.
Key Responsibilities
Accounts Payable (AP)
- Process vendor invoices accurately and in a timely manner, ensuring proper coding to jobs, cost codes, and general ledger accounts.
- Match invoices with purchase orders, subcontracts, and receiving documents.
- Manage vendor statements and resolve invoice discrepancies.
- Maintain vendor records and respond to supplier inquiries professionally.
- Maintain accounting email inbox & proper electronic filing
Accounts Receivable (AR)
- Support preparation of customer invoices.
- Track accounts receivable aging.
- Apply customer payments accurately to jobs and invoices.
- Coordinate with project managers regarding billing status, change orders, progress billing, and retainage.
- Assist in maintaining positive customer relationships through timely and professional communication.
Bookkeeping & Job Costing
- Maintain accurate financial records in QuickBooks Online (QBO).
- Ensure expenses and revenues are allocated to the correct projects.
- Assist with month-end close.
- Generate job cost reports and provide support for management's financial analysis.
- Maintain organized electronic and physical accounting records.
Reception & Office Administration
- Answer and direct incoming telephone calls in a professional and courteous manner.
- Welcome clients, vendors, and visitors and provide excellent customer service.
- Monitor and respond to general email inquiries.
- Assist with filing, document management, and general administrative tasks.
- Support the day-to-day operation of the office.
- Provide administrative support to management and project staff as needed.
Qualifications & Experience
- Minimum of 2 years of administrative and bookkeeping experience, preferably within the construction industry.
- Solid understanding of bookkeeping and general accounting principles.
- Experience with job costing and project-based accounting.
- Proficiency in QuickBooks Online (QBO).
- Experience with progress billing, retainage, and change orders is considered an asset.
- Strong organizational skills and exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Excellent verbal and written communication skills.
Preferred Skills
- Familiarity with construction accounting processes and terminology.
- Experience working with subcontractors, suppliers, and vendors.
- Intermediate Microsoft Excel skills.
- Ability to work independently while also collaborating effectively with a team.
