Job Summary
An OB/GYN office in Etobicoke, affiliated with St. Joseph’s Health Centre, is seeking a full time medical secretary to join our team. I am looking for an organized, detail-oriented, and patient-focused individual who thrives in a fast-paced clinical environment. The medical secretary will serve as the first point of contact for patients, requiring excellent communication skills and professionalism at all times. Two obstetrician/gynecologists will work in this office, however in this role you will work for one individual Ob/Gyn (Dr. Erica Pascoal). Cross coverage may be required at pre-specified times.
Responsibilities
- Provide exceptional customer service to patients both over the phone and in person
- Answer multi-line phone systems efficiently and handle patient inquiries with courtesy
- Schedule, confirm, and reschedule appointments using electronic medical records systems (Accuro and Epic)
- Coordinate and schedule patient surgeries, including pre-admission unit appointments, ensuring all required documentation is completed accurately and on time
- Manage patient check-in and check-out processes, ensuring all necessary documentation is completed accurately
- Validate OHIP health cards and complete patient registration
- Collaborate effectively with physicians and hospital administrative staff
- Provide general administrative support, including: managing incoming/outgoing calls, handling mail, couriers, and faxes, photocopying and filing, processing the sterilization of office medical instruments, ordering office supplies, troubleshooting day-to-day office issues, carry out other related administrative duties as required.
Qualifications
- Experience using an electronic medical record system (specifically Accuro and/or Epic is an asset)
- Previous experience in a medical office and some knowledge of medical terminology is preferred
- Familiarity with front desk operations in a healthcare setting is highly desirable
- Interest and/or experience in working with patients in an obstetrics and gynecology context
- Proficiency with medical scheduling systems and standard office software
- Strong organizational skills with the ability to multitask in a fast-paced environment
- Ability to communicate clearly and effectively both verbally and in writing
- Excellent interpersonal abilities
- Ability to work independently and as part of a team
