Fotis Physio & Wellness is a rapidly growing, multi-provider multidisciplinary clinic located in South Barrie. Our team offers premier care in physiotherapy, chiropractic treatments, massage therapy, pelvic health, and acupuncture. We are seeking a process-driven, highly organized Clinic Office Manager to streamline our administration, lead our front-desk staff, and handle complex medical billing ecosystems to sustain our expanding patient base.
The Clinic Office Manager will serve as a vital link between clinical staff, patients, and administrative teams to deliver exceptional patient care and operational efficiency.
Role Overview
- As the Office Manager, you will serve as the operational backbone of our practice. This leadership role demands an administrative expert who can balance daily clinical workflows, staff scheduling, direct insurance billing, and strategic practice growth.Key Responsibilities:
- Practice Software Oversight: Manage day-to-day scheduling, client records, and workflow data pipelines using both Clinicmaster /Jane App software.
- Financial & Claims Management: Oversee and reconcile direct extended health insurance billing, complex Ontario WSIB claims, and Motor Vehicle Accident (MVA/HCAI) files.
- Team Leadership: Recruit, train, schedule, and supervise front-desk administrative reception staff to guarantee a five-star patient journey.
- Business Development: Coordinate local Barrie community partnerships, marketing initiatives, sponsorships, and outreach events.
- Operational Strategy: Monitor performance metrics, track clinic efficiency, and enforce standard operating procedures alongside the ownership team.
Mandatory Qualifications:
- Experience: Minimum 3 years of healthcare administration, medical clinic management, or supervisory experience.
- Software Competency: Proven, hands-on administrative proficiency in Clinicmaster/Jane App.
- Billing Specialization: Extensive practical knowledge of Ontario direct billing insurance portals, WSIB, and MVA tracking.
- Skills: Exceptional leadership, fast-paced multitasking capabilities, and strong communication skills.
Preferred Qualifications:
- Prior administrative experience within a multidisciplinary rehabilitation setting.
- Proven track record in staff training, policy implementation, or medical clinic marketing.
