Position Summary
The successful candidate will join the office management team within the Corporate division and participate with the organization and running of the day-to-day administrative operations of the company. Under the guidance of the Executive Assistant and Office Manager, the candidate will be responsible for providing assistance to the company and perform logistical responsibilities to optimize current company processes.

The work performed is involved in areas of facilities and office administration to ensure optimization as well as safety of staff. The incumbent will be a motivated, friendly individual who is able to undertake a variety of office support tasks and work under pressure. This person will be comfortable working with others while demonstrating a high degree of attention to detail and discretion.

Responsibilities

The Administrative Assistant will:
  • Follow administrative procedures to ensure consistency;
  • Maintain a clean and organized working environment and identify areas of improvement as needed;
  • Ensure all necessary material and tools to perform daily work are available and kept in working condition;
  • Organize facilities tasks and keep track of all things that need to be accomplished;
  • Monitor level of supplies and anticipate shortages;
  • Respond to requests and resolve office-related malfunctions promptly;
  • Maintain trusting and good relationships with staff and vendors;
  • Sort and distribute communications in a timely manner;
  • Attend in committees relating to facilities and assist with other projects and duties as assigned.
Qualifications

The candidate should possess the following qualities:
Academic
  • Qualified candidates will have an undergraduate degree from an accredited post-secondary institution.
Experience and Abilities
  • A minimum 1 (one) year of working experience in customer service in retail or in an office setting. Experience in office administration is an asset.
  • Ability to utilize common sense to formulate solutions for issues that arise.
  • Experience in a dynamic, team-oriented working environment. Working well with others is a must.
  • Strong clerical and organizational skills. Ability to initiate and maintain operational workflow is a must.
  • Excellent communication skills, both written and oral.
  • Willingness to learn and ability to adapt to changing priorities.
  • Ability to be flexible with schedule.
Technical
  • Intermediate knowledge of Microsoft Word, Excel, and PowerPoint.
  • Intermediate knowledge of technical equipment including copiers, computers, etc.
Other Requirements

  • Ability to work early mornings and evenings as required.
  • Valid Class 5 Canadian driver’s license and have access to a vehicle.
  • Ability to lift, move, or carry materials up to 20 kg.
  • Possess Canadian citizenship, Canadian permanent residence, or have a valid work permit in Canada.

Start date: January 28, 2019 or earlier
Salary: Commensurate with candidate's qualifications
Type of position: Permanent, full-time
Number of hours per week: Minimum of 30 hours per week and up to 40 hours per week. Candidate must be available from 9:30 a.m. to 4 p.m., Monday to Friday.
Location of position: Broadway Tech Centre, Vancouver, British Columbia, Canada
